About the role: 
This is an exciting opportunity for a self-motivated, proactive candidate to work on a great team with a collaborative culture. This candidate will support at least one VP and the larger Corporate Legal team. Support includes coordinating and scheduling meetings, calendar and travel management, telephone and computer support, filing and editing of contracts, managing group email boxes, triage of general correspondence and inquiries, and maintaining weekly reports and reference materials. Must be detail oriented and able to treat highly sensitive and confidential material appropriately.

The work mode for this position is hybrid (on-site minimum of 2 or 3 days a week) at the BSC campus in Marlborough, MA.

 

Your responsibilities will include:
⦁ Performing general administrative duties that may include calendar management, coordinating meetings/appointments (in person and virtually), booking conference rooms and proactively identifying and resolving calendar conflicts.
⦁ Anticipating and coordinating projects/assignments, organizes own schedule, and that of others, to meet deadlines. Help organize group meetings (e.g., bi-weekly meetings with direct supervisors, monthly staff meetings, off-site meetings, various recurring meetings, etc.) which will involve careful planning and organization

⦁ Completing administrative tasks such as photocopying, typing, ordering/maintaining supplies, arranging travel, expense reports, preparing and/or sorting mail.
⦁ Performing administrative and operational project work such as leading and managing administrative project for assigned attorneys to increase their effectiveness and efficiency, maintaining team knowledge resources. This includes triaging incoming new matters for commercial corporate team and maintaining weekly log of active matters for business development corporate team.
⦁ Providing the necessary support to the corporate legal group, including meeting logistics and onboarding support for new hires.
⦁ Providing support for notarization, legalization, DocuSign and archiving of legal documents, including coordinating review and approvals among the corporate legal group and other stakeholders, including executive leadership.
⦁ Creating and managing matters in document management and legal tracker (e-billing system for outside law firm legal fees) and handling outside counsel conflict checks.
⦁ Answering functional questions that typically require sound judgement and additional research and follow-up.
⦁ Making decisions using independent judgment under only general guidelines.
⦁ Translating thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
⦁ Managing work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information. Confidential information typically consists of company/division sensitive information (i.e., acquisitions, business strategies, financial data, new product technology).
⦁ Ad hoc projects, as required.

 

Required qualifications: 
⦁ HS diploma or equivalent, Associate’s or Bachelor’s degree preferred.
⦁ 4+ years of related work experience supporting VP or above level leadership.
⦁ Previous administrative assistant experience supporting multiple team members with travel and expenses, calendar support and event coordination.
⦁ Strong proficiency in MS Office (e.g. Outlook, Word, Excel, TEAMS & PowerPoint) 
⦁ Highest ethical standards. Discretion and sound judgment when dealing with confidential and/or sensitive information.

 

Preferred qualifications: 
⦁ Proven experience in providing administrative support in a fast-paced organization or law firm, including handling of sensitive or confidential information.
⦁ Strong communication skills (written and oral) and interpersonal skills with ability to work across multiple levels of an organization.
⦁ Strong sense of responsibility and urgency as well as attention to detail.
⦁ Strong customer-service orientation and professional demeanor.
