Unique among similar departments in the UC system and across the country, the Department of Literature is a community of scholars, critics, and writers working in a comparative, global, and interdisciplinary context. Faculty and students work in Spanish, English, French, Arabic, German, Russian, Korean, Chinese, Japanese, Italian, Greek, Latin and other world languages and literatures.
At the undergraduate level we currently offer four majors, World Literature, English, Spanish, and Literary Arts, and eleven different minors. At the graduate level, we offer programs for the PhD in English, Spanish, Comparative Literature, and Cultural Studies, as well as a Master in Fine Arts in Cross-Genre Writing.
Since our founding in the 1960s, we have been known for our innovative accomplishments in comparative, multilingual, transnational, interdisciplinary, and multi-media creativity, research, and teaching, as well as for our dedication to the studies of encounters, connections, and exchanges between cultures and societies from the antiquities to the present.
Under the general supervision of the Literature Chief Administrative Officer (aka MSO), the Academic Personnel & Events Coordinator performs a broad range of events administration and academic personnel coordination.
Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.
Manages Lecturer, Visiting Scholar, Postdoctoral Scholar, and other academic appointments for the department. Serves as primary contact and independently manages Non-Senate appointments, postdoctoral fellows, visiting scholars, and other temporary faculty appointments for the Literature Department. Ensures compliance with all applicable Academic Personnel policies and procedures, and Union contract requirements and restrictions. Compiles required documents for the appointment process. Processes all UCPath payroll transactions for academic personnel, including ladder-rank faculty, lecturers, visitors, Postdoctoral Scholar, and other academic appointments under the guidance of the CAO and the AP Analyst.
Serves as primary contact and coordinator for academic faculty recruitments including scheduling job talks and arranging for travel, including accommodations. Interprets, advises and instructs faculty on academic personnel policies and procedures as they pertain to faculty recruits. Serves as visa coordinator for new and visiting faculty and ensures compliance with INS regulations and restrictions.
The Academic Personnel & Events Coordinator also organizes, and implements departmental events and functions, which include graduate speaker series events, job talks for faculty recruitment, and undergraduate and graduate events in the summer. Processes reimbursement and purchasing transactions, procurement card coordination, and general fiscal activities related to events. Uses appropriate University applications to initiate and reconcile these transactions. Assists with special projects and other tasks as needed.
The Academic Personnel & Events Administrative Coordinator is responsible for the administration, organization and management of the chair's office and provides administrative support to the Executive Committee and CAO. Acts as communications liaison conveying information between his/her CAO supervisor and the rotating department chair.
Occasional evenings and weekends may be required.

Demonstrated experience with academic personnel in a college or university setting.
Working knowledge of concepts, principles and practices of event planning and production and public relations. Event planning experience in a college or university setting preferred.
Experience in writing on a broad range of topics for a variety of purposes; skill in editing and rewriting.
Ability to use sound judgment in responding to issues and concerns.
Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
Solid organizational skills and ability to multi-task with demanding timeframes.
Working knowledge of common organization
