Position SummaryThe School Programs Assistant provides administrative support and is responsible for booking school tours, monitoring program registrations and requests, and updating website content. This entry-level position is primarily an administrative one with most work completed at a desk (sitting and/or standing). The position becomes available as Joslyn prepares to reopen after a two-year closure for a transformative building expansion and renovation project nears completion.
Major Duties- Oversee school group visits booking process, including scheduling tours, sending confirmations, coordinating with Gallery Teachers, updating customer management system, and communicating with teachers and Museum staff as needed
- Receive and respond to email, phone, and in-person inquiries regarding school programs registration, school tour requests, access and accommodations – following up or routing inquiries as needed
- Assist the Head of School & Teacher Programs to execute teacher programs by monitoring session registrations, preparing necessary documents, providing communication to teachers, and working with Museum volunteers to ensure successful experiences for all participants
- Collaborate with the school and teacher programs team to keep website content current
- Administer the school transportation grants and distribution of digital resources
- Gather and record program participation and other data for grant requests and reports
- Attend relevant educational/outreach events to participate, represent, and promote Joslyn’s school and teacher programs and resources and the Museum at large
- Participate in relevant trainings, webinars, and community gatherings to grow skills and build a professional network
- Be knowledgeable about Museum activities, services, and layout and be willing to assist any visitor and ensure they have a positive experience
- Adhere to policies and procedures as outline in the Employee Handbook
- Other duties related to the Learning & Engagement department as assigned
Qualifications- High school diploma or equivalent; some college experience or an associate or bachelor’s degree preferred
- Excellent data entry skills with a high degree of accuracy
- Excellent communications (oral/written), organizational and customer service skills
- Strong aptitude to learn new software programs
- Enthusiasm/appreciation for the visual arts as well as homeschool, K-12, and higher ed audiences
Salary Starting Salary: $16.75
