The Accounting Specialist is a financial professional who manages all forms of financial accounts within an organization. They keep accurate Account Payable records, including establishing and maintaining relationships with new and existing vendors while maintaining a schedule, ensuring invoices are paid in a timely manner. They will provide support to the Accounting Manager for month end and Audit preparation.
Primary Responsibilities:
- Records and Posts AP invoices in adherence to the Chart of Accounts. Obtains proper authorization and approvals for bill payment and creates payment batches three times a month.
- Reviews AP aging to ensure bills are paid in a timely manner.
- Performs accurate data entry of payer remittance and reconciles total to the GL.
- Coordinates with Intake and Admissions Team to ensure patients insurances are current and accurate.
- Works with Marketing & Development to record donation and other revenue receipts.
- Maintains files in a timely and orderly manner.
- Performs other tasks as needed

Experience and Educational Requirements:
- Experience in healthcare billing and non-profit administration is ideal.
- Proficient in the use of GL software, MS Word, Excel, Outlook, and overall computer skills
- Is knowledgeable of and maintains HIPAA standards of privacy and confidentiality.
Working Conditions:
- Indoors in an air-conditioned office as well as outdoors in all types of weather.
Equipment Used:
- Operates phone system, computer (Word, Excel, Microsoft Outlook, Quickbooks, Cyma Accounting Software and e-mail), calculator, copier, facsimile, and postage machines.
- Occasional use of own personal motor vehicle which meets valid registration and insurance requirements. Must possess a valid Drivers' License, current auto insurance, and reliable transportation.
Hours:
- Generally Monday through Friday, 8:00 am through 4:30 pm.
Physical, Mental and Communication Demands:
- Requires use of hands and must be able to speak, read and write English. Vision abilities include close vision, depth perception, and ability to focus.
- Must be able to lift and move up to 50 lbs unassisted.

- Must be able to meet multiple deadlines as well as analyze problems and adopt an effective course of action.
- Attention to detail and a good math aptitude required. Includes the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must be able to compute rate, ratio, and percent.
- Ability to obtain and handle confidential information with utmost professionalism and discretion
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instruction furnished in written, oral, diagram, or schedule form.
