Our client, a prominent non-profit in NYC, is seeking a motivated and entrepreneurial colleague to join as the Executive Assistant to support the Executive Director. The ideal candidate will have proven experience supporting and managing a senior leader/C- level Executive. This is a great opportunity to work for a mission-driven firm.

ON-SITE: 5 days a week expected in office
HOURS: 9:00am-5:00pm
COMPENSATION: 85-100K DOE + Benefits
BACHELOR’S DEGREE: Preferred
Responsibilities:
- Strategically manage the Executive Director’s calendar, organizing and prioritizing the most time-sensitive and critical items to facilitate efficient decision making.
- Draft internal and external communications that can be shared with senior-level stakeholders. Support with PowerPoint materials, as needed.
- Prepare and collect meeting materials and briefings, working across the organization to collect input from various stakeholders. Ensure meeting and attendee information is accurate by maintaining and monitoring RSVPs and follow-up actions. Delegate tasks to appropriate team members where applicable.
- Coordinate meetings of executives, including the regularly scheduled CEO meetings, board committee meetings, and advisory committee meetings. Requires comfort corresponding and following up with corporate Executive Offices.
- Facilitate in-person and virtual meetings on behalf of the Executive Director, staff, and the broader organization. Assist in planning and execution of events, both internal and external.
- Maintain comprehensive and accurate records of member engagement and activities, including oversight of contacts within the organization’s Salesforce CRM.
- Attend advisory board and committee meetings to document meeting notes and disseminate notes appropriately following the meetings.
- Develop and maintain key documents that are used across the organization, including those tracking the ongoing activities and engagement with each member company.
- Manage special projects, as needed, across the organization. As the individual grows into the role, there may be opportunity to support broader organization initiatives and priorities.
Requirements:
- Ideal candidate will have at least five years of administrative experience, three years if experience was supporting a C-Suite executive
- Ability to work in-person up to five days a week in our New York City office as needed
- Proficient in Microsoft Office and digital tools including Google suite, Zoom, and Salesforce
- Ability to communicate effectively with all levels of internal and external stakeholders, including senior management, both in writing and verbally
- Excellent organizational skills and attention to detail are a must
- Experience with data entry and managing a database preferred
- High level of independence, energy, and integrity; demonstrated respect for a diversity of opinions and styles
- Team-oriented and constantly working for the overall good of the organization
