Position Overview
This position is responsible for processing payroll for our employees and handling all other aspects of the payroll function. This position will work with the human resource department and other team members to maximize the efficiency of the department in support of the organizational goals and standards.
Key Responsibilities (Essential Duties and Functions)
- Process weekly and bi-weekly payrolls including coordinate processing of information with the appropriate internal/external parties and maintain supporting documentation.
- Process termination and other out-of-cycle payments, including entry and routing of appropriate paperwork.
- Maintain proper filing and documentation of all relevant documents (timecards, reports, correspondence) pertaining to payroll.
- Review weekly detail report once final hours have been uploaded, look for missing or improper coding of time and correct if needed.
- Assist human resources with maintenance of policies and procedures regarding the payroll department and disseminating this information to employees, as needed.
- Maintain incoming PTO documents through email. Verifying that they have been entered properly and archive to employee folder.
- Respond to inquiries from employees and address time or payroll concerns.
- Maintain professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a “need to know” basis.
- Assist in preparing state labor stat reports monthly.
- Work in a team environment to ensure accuracy of all payroll data.
- Regular and predictable attendance at assigned times is required.
- Flexibility to perform other duties as assigned.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Education/Experience
- High School diploma or general education degree (GED) required.
- 1-3 years related experience in an office setting, performing payroll tasks.
- Bilingual in (Spanish) - Highly Preferred
- Work Requirements
- Must be 18 years in age or older.
- Must pass a drug screen and criminal background check.
- Must display a professional and courteous attitude to co-workers, supervisors, and the public always.
- Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
- Must be willing to work nights, weekends, and holidays when necessary.
- Be able to work overtime when required

- Must possess a valid driver’s license
- High standard of ethics, integrity, and trust.
- Report to the office dressed appropriately and ready to begin work at the designated start time .
Knowledge/Skill Requirements
- Strong Microsoft Office proficiency, especially Excel and Outlook.
- Strong oral and written communications and problem-solving skills and the ability to work with management.
- Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
- Must have the ability to work without close supervision.
- Ability to understand and follow complex verbal and written instructions.
- Ability to perform under deadline pressure
- Ability to operate office equipment including, but not limited to: computers, copiers, ten key adding machine, printers, etc.
- Ability to work efficiently in a high volume fast paced environment
- Ability to analyze issues independently and complete daily activities according to work schedule.
- Knowledge and/or previous related experience in the payroll environment preferred.
- Basic typing skills.
