Facilities Coordinator

THIS PERSON WILL SIT REMOTELY BUT TRAVEL TO OUR SOUTHERN CALIFORNIA LOCATIONS AS NEEDED.

The Facilities Coordinator is responsible for coordinating the launch of new care programs, provide support to currently operating programs, assist Launch & Construction and Operation Team with operational activities in maintenance, operations, finance tracking, vendor oversight, equipment/supplies, occupancy services and proactively developing/maintain relationship with stakeholders. Coordination involves understanding, organizing and communicating status of facility needs across finance, strategy, regulatory, real estate, hiring and operations domains in support of our mission to bring PACE to seniors in need throughout the country. The Facilities Coordinator will collaborate effectively with colleagues throughout different organizational departments and stakeholders to promote the WelbeHealth values, team culture and mission.

Essential Job Duties:

• Assist Launch Team with tactical planning for the Team’s goals, objectives and completion of day-to-day workload.
• Provide facility specific assistant to the Launch Team as needed or requested.
• Manage and maintain small facility management task as assigned.
• Coordinate/support critical task from local market leadership request.
• Provide support for management schedule and budget trackers (Excel spreadsheet, Smartsheet, Procore, MS Project or scheduling meeting.
• Assist with coordination of maintenance, repair and renovation activities.
• Ensure appropriate follow-up with the ensure user, vendors and leadership.
• Provide direction/information to vendors, market staff/leadership and service providers as required to ensure excellent coordination/ work order with minimal supervision.
• Coordinate facility preparation including but not limited to supply orders, equipment training, clinic set up, kitchen set up, market specific vendor identification and orientation.
• Coordinate market handoff scheduling and orientation.

Job Requirements:

• Bachelor’s Degree or higher in Construction, Business, or Healthcare related field.
• PMP Certification preferred, but not required.
• Valid State Driver’s License with a clean DMV record.
• Copy of recent Vehicle Insurance required.
• Minimum of two years’ experience with facility or property administration and project
•  
• Ability to multitask, work without direct supervision, manage work under time constraints.

Strong organizational skills and collaborative style.

• Experience in a new healthcare program and facility project management in a fast-paced high growth setting.
• Capable to schedule and manage repairs, maintenance, minor works and other work requests, tracking to completion with minimal supervision.
• Diligent in assisting with vendor procurement and services required.
• Previous experience in a regulated environment (healthcare preferred).
• Formal project management training, construction knowledge and certification a plus.
• Ability to travel within current markets and proposed markets.
• Passion for process – both the creation of process where it does not exist, and the improvement of existing processes that could be better

Salary base range for this role is $62,612-$80,265 annually + Bonus. WelbeHealth offers competitive total rewards package that includes, 401k match, healthcare coverage and a broad range of other benefits. Actual pay will be adjusted based on experience and other qualifications.
