Job description
Title: Accounting Clerk / HR Assistant
Reporting: This position reports to the Finance/Human Resource Manager
Objective: Help ensure the financial health of the company. Ensure and maintain the accuracy and integrity of the ERP Accounting System, supporting financial activities. Accurately execute daily accounting functions. Administrate company benefits and other Human Resources activities. Supervise the Accounting Assistant, Administrative Assistant and Receptionist.
Responsibilities:
Support the Finance/HR Manager on all functions and responsibilities as required.
Computerized and manual accounting system including the general ledger, financial statements, financial corporate reporting, accounts payable, check runs, invoicing, accounts receivable, collections, and cash flow management.
Administrate and protect the confidentiality of Human Resources including payroll, benefits, Federal and State regulations and orientation of new hires.
Assist in the hiring and onboarding of new hires.
Support and function as backup to Information Technology and Information Systems Coordinator ( ISC )...assign and issue email addresses, employee numbers, security codes, etc.
Maintain and follow Quality System
Product and service invoicing
Entering daily Accounts Receivable Cash Receipts including both checks and electronic transactions.
Expediting Accounts Receivable Cash Receipts working through customer purchasing contacts and team members
Reconciling company credit card bills with expense reports and purchase orders
Daily processing of received Accounts Payable invoices and for organizing periodic Accounts Payable payments via automatic check, manual check and electronic transfer with Management
Daily processing of reported labor hours
Preparing ERP system for month end closing including printing and filing of associated reports.
Printing and faxing Purchase Orders along with cover sheet and terms and conditions sheet after approval by Materials Manager.
Operating the phone systems to effectively handle organizational needs.
Daily execution of the company data backup procedures.
Greeting all visitors in a professional and courteous manner.
Daily distribution of inbound and outbound mail.
Other duties that may arise to support other Managers.
This position is responsible for entering the daily Cash Receipts into the accounting system.
This position is responsible for the daily processing of the Accounts Receivable and Accounts Payable invoices.
This position is responsible for collecting data for the weekly check runs.
This position is responsible for the daily distribution of inbound and outbound mail.
This position is responsible for updating labor hours into the accounting system on a daily basis.
This position along with Reception/Admirative Assistant function together to ensure the organization and efficiency of the President/GM and the Finance/HR Manager
This position is responsible for greeting all visitors in a professional and courteous manner.
This position is responsible for any other duties that may arise from this position with regards to deadlines, etc. given by other Managers.
Skills/Required Training:
One to three years experience in accounting and/or Human Resources
Bachelor’s degree in finance, accounting, HR or other preferred but not mandatory
Knowledge of Windows software, Accounting/Manufacturing software packages
Good communication skills
Background knowledge of Human Resources and experience with personnel issues
Accounting and/or finance and/or HR experience/education
Experience in manufacturing environments preferred but not required

Very good knowledge of ERP system
Basic foundation of general accounting practice

Experience with eight line switchboard
