The incumbent is part of a global public health organization and is expected to support the Florida Department of Health in Pinellas County in its mission to protect, promote and improve the health of all people in Florida through integrated state, county and  community efforts and its efforts and its vision To be the  Healthiest State in the Nation. The incumbent serves as a Records Technician for the Healthy Start Program of the Maternal and Child Health Division. This position requires using independent judgement to provide the following:

 

Your Specific Responsibilities:

• Accurately enters data in Well Family System and or HMS for referrals, Not Referred, Out of County referrals.

• Enters client information into HMS database, registration, case assignment/transfer and special care comments prior to case assignment.

• Opens record, documents progress notes, and sends a required letter to client and OB provider within 5 days of receipt of screening/referral forms.

• Creates client case labels.

• Scan documents into a software system

• Contacting providers to verify client information.

• Greeting, welcoming, and directing office visitors with a positive, helpful attitude.

• Taking and ensuring messages are passed to the appropriate staff member in a timely fashion.

• Receiving, sorting, and distributing daily mail

• Answering phones in a professional manner, and routing calls as necessary.

 

Required Knowledge, Skills, and Abilities:

• Ability to type accurately and to enter data into a computer software case management system.

• Ability to use correct grammar and punctuation.

• Ability to scan documents.

• Knowledge of general office procedure and practices.

• Ability to prepare reports and correspondence.

• Ability to plan, organize and coordinate work activities.

• Ability to develop and implement office procedures.

• Ability to establish and maintain effective working relationships with others.

• Ability to operate office equipment.

• Ability to communicate effectively verbally and in writing.

• Ability to operate a personal computer and accompanying software.

• Ability to work independently.

• Ability to scan documents.

 

Qualifications:

Minimum -

• High school diploma

• 1 to 3 years clerical experience.

 

Preferred-

. Five years of clerical experience

. 2 years of computer entry experience
