Associate Director of Finance and Business Operations- Mathematics University of Illinois at Urbana-Champaign The College of Liberal Arts & Sciences is home to 15,000 students; 1,300 faculty and staff; and over 186,000 alumni. The Department of Mathematics is searching for an Associate Director of Finance and Business Operations who will be responsible for fiscal management, control and oversight of all funds in the department.
Fiscal Management and Administration - Exercise high-level, independent decision-making with regard to providing budget and financial supervision to the department, including appropriate use of department/campus/University/state policies and procedures, financial reconciliation, expenditure confirmations, subaward billing, accounts receivable, cash handling, revenue/expense transfers, budget transfers, fund creation and maintenance, and other financial activities.
- Supervise the procurement processes, including purchase orders, equipment purchases, maintenance, and property accounting. Serves in the role of T-Card & P-Card department card manager and as the approver for substantial department purchases ($5K and over).
- Provide budget and financial advice to the Department Chair by regularly preparing current and projected financial reports, analyses and budgets.
- Implement department policies for: the maintenance and management of accounts, monitoring expenditures, budget development and preparation of various types of management information, etc.
- Serve as the Chair, Associate Chair, and Associate Director of Personnel and Administration designee in a variety of administrative matters with signature authority for financial operations as necessary.
- Responsible for representing the department's financial well-being when negotiating contacts, agreements, and MOUs related to procurement, facility/space or equipment use, and others as needed.
- Oversee the financial aspects of the hiring of hourly employees, research assistants, and faculty summer appointments.
- Coordinate with the College of LAS, Associate Director of Personnel & Administration, and Department Chair on the annual budget process; including salary planning.
Grant Administration - Direct and supervise all sponsored research pre and post-award processing and management; including responses related to post-award information and compliance requests.
- Identify grant opportunities and share information with faculty in a timely manner.
- Advise department principal investigators on financial planning and forecasting.
- Serve as university and department liaison to assist in transferring grants to/from other campuses, assuring funds are appropriately used, and aiding in extension and re-budget requests.
- Oversee semi-annual expenditure confirmation process and grant fund closeouts.
Leadership and Supervision of the Business Office - Supervise and direct business staff members in the department business office, which includes: delegating duties/responsibilities; prioritizing workloads to ensure deadlines are met and urgent matters are addressed in a timely manner; monitoring productivity and overall performance management; and overseeing progress of short- and long-term unit objectives and goals.
- Ensure the biennial physical inventory is completed on-time and in compliance with university policies, rules and regulations.
- Continuously identify areas to improve fiscal activity which includes the recommendation and implementation of innovative organizational changes and procedures to improve financial operations, streamlining administrative functions to maximize and preserve resources.
- Provide general supervision for a facilities position shared with the Department of Statistics and the School of Earth, Society and the Environment; specifically with guidance related to any repair, maintenance, or construction requests.
- Represent the department on the campus Business Managers Group and other relevant committees; and serve as a financial liaison to the College of LAS and the University of Illinois Foundation.
- Other related duties as assigned that further the mission of the department.
Required Qualifications - Bachelor's degree.
- 5 years' experience in a position in financial administration, one of which is in an academic environment.
- 3 years' experience in the management of grants and contracts and in the management of research budgets and related fiscal planning.
- 2 years' experience in a supervisory role.
Preferred Qualifications - Bachelor's degree in a business or related field.
- Experience with supervising facilities maintenance and/or renovation projects for office buildings like those of the Department of Mathematics.
- Ability to communicate effectively with others, team-work skills, problem-solving and analytical ability with strong attention to detail.
- Excellent computer skills related to duties of position such as financial analysis and budgeting.
- Ability to exercise initiative, confidentiality, discretion, and sound independent judgement.
- Ability to interact effectively with faculty, students, staff, alumni, external sponsors, vendors, and other stakeholders.
- Knowledge of and experience working with multiple sources of funds, including state, federal, gift, self-supporting, and ICR.

Appointment Information This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The target salary range for this position is $85,000 to $110,000. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. Sponsorship for work authorization is not available for this position.
