Job description

1. Direct Jackson's registrar office's services and operations supporting all degree programs including joint degree students. Services include enrollment management, registration, creation of courses, issuing/providing degree and enrollment verifications, issuing transcripts, maintaining student records, awarding degrees and diplomas. 2. Oversee the ongoing evolution, implementation and maintenance of integrated student record systems and technological resources in all student and course data service areas. Lead in the development, enhancement, and maintenance of systems and processes. 3. Responsible for maintaining and updating web based and printed materials on academic policies, program and graduation requirements and other academic resources to support the student experience and curricular needs of the school. Leads maintenance and update of the Jackson Institute/School Bulletin, which contains academic policies, procedures, and degree requirements.   4. Advise students and faculty concerning academic policies, degree requirements, and procedures. Interact with faculty in interpreting and applying academic policy according to best practice and industry standards. Use discretion and independent judgment in granting exceptions to selected policies and recommend modifications to academic policies and procedures to senior faculty leadership team. 5.  Manage course registration process, including course setup and maintenance, schedule approval, and problem-solve as necessary with appropriate University resources. Collaborate with relevant Jackson faculty and staff to ensure courses are created in an accurate and timely manner to meet faculty and student needs. Work independently to troubleshoot any matters regarding student and course data services.   6. Counsel students and provide guidance and advice with registration and other academic support requests. Ensure ongoing communication with students regarding program requirements to successfully navigate from matriculation to graduation. Develop and implement strategies to improve communication and ensure success.  7. Write and distribute communications to students regarding operational deadlines and other relevant academic policies.   8. Oversee student records and conduct degree audits for all graduating students to ensure compliance with program requirements for graduation. Ensure the accurate monitoring and tracking of student graduation requirements. 9. Work with Yale Health and University offices to monitor registration holds and follows process of alerting the student(s), faculty, and key staff to ensure compliance with university and Jackson policies.  10. Determine teaching and final exam schedule. Oversee the receipt, processing, and timely recording of grades.  11. Administer the Institute's/School's teaching fellowships and course evaluations programs. 12. Compile statistical data and information. Summarize and analyze data for reports.  13. Develop strategies that draw upon emerging technologies to respond to changing student and scheduling needs. Anticipate needs that will optimize student success and improve records retention.  14. Serves as the primary liaison to the University Registrar's Office to ensure compliance with registrar related functions, administrative policies and procedures. Participate in University-wide network of graduate and professional school registrars to keep abreast of University policies and best practices as they exist and change. Represent Jackson at professional conferences to keep abreast of national standards and best practices. 15. Serve as School Certifying Official for the US Veteran's Administration. 16. Assure institutional compliance with relevant federal law.



Required Skill/ability 1: Demonstrated expertise working with student and academic records, including student records privacy (FERPA) policy and procedures.



Required Skill/ability 2: Demonstrated ability to work effectively with and foster collaboration among a wide range of individuals and constituencies in a large, complex academic environment. Excellent oral, written and interpersonal communication skills with emphasis on customer service to students, faculty and staff. Ability to use diplomacy and tact, and to maintain confidentiality.



Required Skill/ability 3: High level of computer proficiency. Proven record of learning new systems and technologies to improve systems to better serve constituents. Excellent analytical, organizational, and data management skills. Accuracy and precise attention to detail.



Required Skill/ability 4: Demonstrated ability to multi-task in a fast-paced environment. Ability to adapt to change and adjust workflow to meet organizational and project goals. Excellent organizational skills to meet deadlines, timely response to student and faculty requests, and meet requirements of the position.



Required Skill/ability 5: Expert knowledge of complex academic policies and procedures such as curriculum, registration, enrollment, classrooms, grading, assessment, or scheduling. Familiarity with issues that influence higher education and/or the profession.



Preferred Education: Prior experience in an academic institution, with knowledge of academic procedures and student and course management systems. Knowledge of Ellucian Banner, DegreeWorks, Slate, Application Xtender, Leepfrog CourseLeaf, Parchment, and Dynamic Forms. Experience working for a decentralized, research (R1) university.



Work Week: Standard (M-F equal number of hours per day)
