Job Summary

Under direct supervision, leads and supports the administrative functions of the IU South Bend Community Counseling Clinic. The Administrative Assistant supports the onboarding and ongoing processes for individuals seeking and continuing counseling services, assists the student-counselors with scheduling, technology, paperwork and documentation, and maintains general administrative organization. This is a part-time position covering 20 hours per week, in person, and on the IU South Bend campus.

General Responsibilities
  • Manages phone calls, email, and messages with prompt and effective communication.
  • Identifies, complies with, and informs others of policy/procedures.
  • Proactively protects client and student privacy and confidentiality by following FERPA and HIPAA standards.
  • Assists clients and counselors-in-training with appointment management.
  • Managies client and clinic paperwork, collects contact information from client, and screening.
  • Organizes files.
  • Maintains the counseling clinic spaces.
  • Assists with ordering supplies and tracking supply needs.
  • Assists with creating and managing technology.
  • Checks-in clients for appointments, review, upload, or complete electronically client documentation.
  • Maintains records for staff training (e.g., HIPAA), licensure, and record keeping.
  • Other duties as assigned.
Qualifications

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)
Preferred
  • Bachelor's degree
SKILLS

Required
  • Familiarity, or willingness to learn, clinic technology and platforms (e.g., electronic medical records, Zoom, Teams)
  • Demonstrates ability to maintain confidential information
  • Maintains a high degree of professionalism
  • Strong verbal communication and listening skills
  • Effective interpersonal skills
  • Excellent organizational skills
Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus The person in this role must be able to perform the essential functions with or without an accommodation.
