Job description

Job Title: Administrative Assistant

Overview: We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. From managing schedules and coordinating meetings to handling correspondence and performing various clerical tasks, the Administrative Assistant plays a crucial role in maintaining smooth day-to-day operations.

Responsibilities:

  1. Manage and maintain executives' schedules, appointments, and travel arrangements.
  2. Coordinate and schedule meetings, conferences, and events, including arranging venues, catering, and necessary materials.
  3. Answer and direct phone calls, take messages, and respond to inquiries in a professional and courteous manner.
  4. Organize and maintain paper and electronic files, ensuring accuracy, accessibility, and confidentiality.
  5. Assist in the preparation of reports, presentations, and data analysis.
  6. Perform general office duties such as ordering supplies, maintaining office equipment, and managing incoming and outgoing mail.
  7. Liaise with internal departments, external partners, and clients as needed to facilitate communication and collaboration.
  8. Handle confidential and sensitive information with integrity and discretion.
  9. Support special projects and initiatives as assigned by management.

Requirements:

  1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  2. Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  3. Strong written and verbal communication skills, including proper grammar and spelling.
  4. Attention to detail and accuracy in all work tasks.
  5. Ability to work independently with minimal supervision as well as collaboratively within a team environment.
  6. Discretion and confidentiality when handling sensitive information.
  7. Flexibility and adaptability to changing priorities and workload.
