Job description

Position Title: Office Administrator and HR Coordinator

Position Overview:

We are seeking a detail-oriented and organized individual to fulfill the role of Office Administrator and HR Coordinator on a full-time basis. This key position will be responsible for overseeing secretarial, bookkeeping, and human resources tasks, ensuring the smooth and efficient operation of our office. The ideal candidate will play a vital role in maintaining confidentiality for our clients, as well as our team members, managing company information, and providing exceptional support across various functions.

Requirements:

- Highly organized with excellent time management skills

- 2+ years of basic bookkeeping experience

- Proficient in computer skills (Excel, Word, Google Sheets, Adobe, etc.)

- Basic Quickbooks knowledge

- Ability to learn Aspire Landscape software

- Bilingual English/Spanish speaker is a plus

- Strong communication skills via email, phone, and text

- Working knowledge of social media

- Interest in learning about the landscape industry or prior experience with landscape/construction is a plus

- Ability to work independently and efficiently without supervision

Responsibilities:

1. Director of First Impressions / Sales Support:

- Serve as the primary point of contact for clients, ensuring a friendly and helpful interaction

- Interview/screen potential clients to ensure alignment with company values

- Assist in preparing and following up on sales proposals

- Ensure faster response times leading to increased closed sales

- Maintain client account information and schedule appointments

- Assist with event and meeting planning

- Maintain a clean and organized office environment

2. Data Entry and Bookkeeping:

- Perform data entry tasks, including reviewing time data for accuracy

- Manage accurate invoicing and accounts receivable processes

- Handle accounts payable and accounts receivable, ensuring timely payments and collections

- Complete necessary government permits, forms, registrations, certifications, insurance, and filing requirements

- Purchase office supplies within budget

- Prepare financial and metric reports as needed

3. Human Resources Coordination:

- Manage pre- and post-hire processes, including drug testing, background checks, and reference checks

- Initiate the onboarding process for new hires

- Maintain personnel files and certification information for employees

- Coordinate testing, certifications, and licenses for employees

- Ensure sound hiring decisions, efficient onboarding, compliance with company policies, and timely review for promotion and discipline decisions

- Well-organized office environment conducive to productivity

- Improved communication leading to successful client interactions and sales

- Accurate financial and bookkeeping records promoting better decision-making

- Efficient human resources management fostering a positive company culture
