Schedule: Monday - Friday; 8-hour day excluding a 30-minute lunch

Position Overview :
The Administrative Assistant is more than just a support role at 7th Street Elementary; they are the linchpin that ensures the school's administrative operations flow seamlessly. This role encompasses not only routine clerical tasks but also the vital responsibility of managing both electronic and paper files. They serve as the primary conduit for inquiries, becoming the face and voice of the school for many interactions. Their pivotal role ensures effective and timely communication across all facets of the school community, from students and parents to staff and the Principal. As the backbone of the school's administrative structure, the Administrative Assistant's dedication and efficiency directly impact the school's day-to-day operations, making their role indispensable to the 7th Street Elementary community.
Key Responsibilities :
- Operate Standard Office Equipment : Familiarize and operate office equipment and software, including Microsoft Word, Excel, APSCN, and COGNOS.
- Budget Management:
Oversee and manage purchase orders and school budgets, ensuring financial prudence and adherence to allocated funds. - Communication Hub:
Serve as the initial point of contact for the school, answering phones, relaying messages, and warmly greeting visitors. - School Records Maintenance : Oversee the organization, updating, and maintenance of essential school records, ensuring accuracy and confidentiality.
- Staff Coordination:
Arrange and coordinate substitutes for staff absences, ensuring minimal disruption to the school's operations. - Mail Management:
Distribute incoming mail, manage outgoing correspondence, and ensure timely communication with all stakeholders. - Appointments and Events:
Coordinate, schedule, and manage appointments, events, and meetings for the Principal and other school functions. - Financial Tasks:
Oversee monetary tasks, including ordering and dispensing supplies, managing and disbursing funds, and preparing and mailing checks. - Collaboration:
Actively collaborate on various projects and participate in committee work, providing administrative support and insights. - Documentation and Reporting:
Prepare, review, and compile various reports, ensuring they align with school and district guidelines. - Liaison with District Office:
Collaborate with administrative offices on different matters, ensuring alignment with district-wide initiatives. - Meeting Support:
Prepare materials for meetings, take minutes, and ensure follow-up on action items. - Event Planning:
Play a pivotal role in the planning and execution of school events, assemblies, and special functions. - Emergency Procedures : Familiarize with and stay updated on the school's emergency procedures, ensuring effective coordination during drills or emergencies.
- Continuous Improvement:
Engage in training and professional development sessions to enhance skills and stay abreast of the latest educational administration. - Feedback Management:
Address feedback and complaints from stakeholders, escalating them to the Principal when necessary. - Resource Management:
Oversee the inventory of office supplies, ensuring the office remains operational and well-stocked - Confidentiality:
Maintain the strictest confidentiality of sensitive information related to students, staff, and school operations. - Other Duties:
Execute other responsibilities as assigned by the Principal to support the school's mission and vision.
Qualifications :
- Education : Minimum of High School Diploma or GED. Associate's degree preferred.
- Experience : 1-2 years in a related role preferred.
- Computer Skills : Proficiency in Microsoft Word and Excel; ability to adapt to new software with minimal training.
