VDC Facility Administrator and Financial Analyst

Job description

The VDC Facility Administrative and Financial Analyst provides critical support for the entire VDC and undertakes operational supervisor and administrative functions to ensure that the business development, operational, and office management are carried out effectively and efficiently. By doing so, this role allows for the Facility Manager and his/her team to focus on leading their facility and utilizing their time to move forward company initiatives. Operational oversight on Security for the VDC keeps facility and associates safe, oversight for maintenance and maintenance projects ensures facility operations run well. This role supports VDC Financial steering, forecast and budget, financial reconciliations, accruals. 

Responsibilities include, but are not limited to:

•    Lead team members to achieve maximum efficiency and cost control. Leads BMW internal maintenance associates.
•    IFT/Purchasing:  Create Purchase requisitions, Purchase Orders, perform goods receipts and communicate with vendors. Reconciles all billing/invoicing for facility purchases and services.
•    Leads discussion for purchasing with account managers and directs vendor on process for invoice reconciliation. Interfaces with account managers for Uline, Cintas. Grainger, Global Industrial, Staples and others to procure operational equipment and supplies needed for the VDC.
•    Formulates proposals for cost effectiveness with vendor contracts and maintenance initiatives.
•    Reviews scope of contract and monitors post orders or functions within scope are delivered. Facilitates and minutes vendor review meetings and escalations.
•    Administrator is responsible for all support functions regarding communication, time administration, employee concerns and interdepartmental contact. Handles confidential information and safeguards privacy.
•    Develops procedures and local policies for activities, such as the preparation and processing of payroll, procurement /payment for goods and services, records maintenance and other VDC associated internal operations.
•    Supervises vendor contracts for maintenance and security for VDC operations. Reviews financial project costs with each vendor for accuracy and delivery from a financial steering and process perspective. Escalates risk to VDC manager. 
•    Drives operational policy compliance for attendance and time off. Maintain employee calendars ensuring accuracy for disciplinary actions and available PTO. Runs reports and discusses coaching and disciplinary action items needed, policy topics and reviews with each manager. 
•    Coordinates various onboarding activities for service vendors and contract workforce associates.
•    Supports orientation for local onboarding of new VDC associates. 
•    Supports strength-based leadership strategy at VDC. 
•    Drives training and development gap assessments with supervisors and their production associates using skill assessment tool.
•    Leads projects to implementation as needed to support VDC operational and resource continuous improvement initiatives.
•    Document and distribute minutes for facility meetings and workshops.

The VDC Facility Administrative and Financial Analyst is based in Oxnard, California. This is a non-exempt salaried position.

The salary range for this role is $74,831 -$87,642.
