Position Description
Job Title: Diocesan Business Manager
FLSA: Exempt
Job Status: Full Time
Reporting Functions : Reports to the cathedral pastor for parish matters and/or the school pastor-designate for the regional school matters, as well as the Director of Parish and School Support for both church and school matters.
Job Function: Provide leadership and daily supervision of the financial and administrative functions at St. Catharine of Siena Parish and St. John Vianney Regional School ("Parish and School"). Responsibilities include, but are not limited to payroll, accounting, budgeting, and finance. This position is part of the Support Services team of the Diocese of Allentown.
Duties and Responsibilities:
- Administer and oversee the Parish and School Accounting and Budgeting Function
- Record deposits and process payments to vendors in the accounting system for the School and Parish.
- Produce monthly, quarterly, and annual general ledger and Diocesan formatted financial statements.
- Prepare the annual Parish and School budgets and financial reports and present to Pastor, Principal and respective Parish and School finance committees. Once approved ensure the reports are signed and remitted to the Allentown Diocese in a timely manner.
- Complete monthly reconciliation of all bank accounts and investments.
- Process bi-weekly payroll and record all payroll information into the accounting system. Prepare monthly Pension Contribution Report for the Diocese, forward with payment. Maintain accurate employee records in the payroll system.
- Assist the Pastor and Principal with reporting to their respective financial and pastoral councils.
- Administer and manage Parish and School building and ground maintenance and other contracted services.
- Obtain estimates for repairs working with the maintenance department and the Buildings and Grounds Committee. Review list of repairs in coordination with respective committee in consideration with budgets.
- Monitor, regularly review, and maintain contracts for yearly services for Parish and School locations such as preventive maintenance, lawn care, snow removal, pest control, etc.
- Coordinate all city and diocesan fire/safety inspections for Parish and School locations; react to reports including necessary repairs in a timely manner. Manage Pennsylvania state boiler certification inspections for Parish and School locations.
- Conduct and administer Diocesan, governmental, and miscellaneous reporting.
- Prepare and submit 1099 statements to the federal government and contractors for the parish and school. File all proper paperwork with the city for games of chance, licensing, and zoning requirements.
- Respond to all Pennsylvania state requests including unemployment compensation paperwork and the coordination of efforts with the Pennsylvania Catholic Conference.
- Work with the Diocese of Allentown to ensure procedures, reporting, and policies are within Diocesan guidelines.
- Aid the Pastor as requested and assist with duties, oversight, and management of the Parish and School
- Assist in managing the Parish and School business offices, which includes day-to-day support of office employees; resolve employee and inter-office issues in compliance with the Diocesan Human Resources Office. Coordinate with the Safe Environment Coordinator at the school to ensure parish employee personnel files are up to date, including background check paperwork and federal government documentation.
- Analyze expenditures and find ways to reduce Parish and School expenses.
- Administer leases for prospective tenants and tenant renewals; work with the diocese to ensure policy and procedure compliance; serve as the contact for all leases, fielding and addressing any complaints/issues.
- Ensure all Will & Estate bequests are received; properly recorded and the terms are carried out.
- Assist with any other duties as requested by the Director of Parish and School Support, the Pastor, the Principal, or their designee.
Educational Requirements:
- A bachelor's degree in finance or accounting or equivalent experience preferred.
- 5 to 7 years minimum of and recent proven experience with processing AP, Payroll, and overall office experience as a bookkeeper, accountant, or equivalent experience.

Skills, Knowledge, and/or Abilities:
- Proficiency in Microsoft Office, accounting software, payroll systems and concepts, and database management as well as other business and office equipment.
- Knowledge of basic accounting and a strong understanding of financial reporting accounting systems.
- Excellent problem-solving skills with emphasis on detail and accuracy.
- Possess and exercise professional temperament and appearance.
- Must possess excellent communication skills, verbal and written; excellent human relations and interpersonal skills; able to handle sensitive confidential situations.
- Must be a self-starter; well organized and able to multi-task and work with a sense of urgency.
- Must be able to maintain strict confidentiality at all times.
- Exercise an ability to work collaboratively and proficiently in a team environment as well as independently; Possess the ability to work with and relate to a variety of personalities/cultures with diplomacy, friendliness, respect, and poise.
- Must exhibit a high degree of integrity, loyalty, and dependability, and have a strong work ethic. This position continually requires demonstrated poise, tact, and diplomacy.
Physical Demands: The employee is regularly required to stand, walk, sit, talk, and hear both in person and by telephone; frequent use of equipment that includes repetitive motions and computer eye fatigue. The position requires working at a desk for approximately two-thirds of the workday; the balance of time is divided between standing and walking. Occasionally required to reach and lift with hands and arms; stoop, kneel, crouch, or crawl, lift and/or move up to 10 pounds. Occasionally required to reach at shoulder level; reaching below shoulder level is frequently required. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities. Minimal exposure to chemicals related to copier equipment and general office solvents.
Working Conditions: Work is performed in a standard parish office setting and school office environment; noise level can vary depending upon daily activity but will remain within a moderate noise level range; 35 hours per week. May be required to work more than normal work hours to attend meetings or due to non-routine or emergency situations that may arise.
