Overview:
Nikola is a company working to change the world by developing zero-emission trucks and the infrastructure needed to produce and distribute fuel to them.
Nikola is looking to hire an enthusiastic Document Control Specialist with a good eye for detail to handle the intake, management, and storage of our company's documents. You will work within the Energy Infrastructure division and perform quality control checks on our company product documentation to ensure that all records are traceable to their materials, processes, and products, and to promptly resolve any issues or discrepancies that may arise. You will file the documentation and oversee the preparation of record books if requested. As part of resolving discrepancies, you may be involved in procedures for maintaining calibrated test equipment, preparing test data, and identifying areas for quality control improvement. This role involves interdisciplinary work with civil, electrical, process, and controls groups for engineering, procurement, and construction documentation, and this role involves coordinating Energy Infrastructure processes to align with Nikola’s corporate quality documentation programs.
To ensure success, you should have an excellent visual awareness, working knowledge of mathematical concepts, and the ability to work with minimal supervision. A top-notch document controller will develop an extensive understanding of the company’s document management software and be able to handle document access intaking and archiving responsibilities.

- Ensure the quality of Energy Infrastructure product records
- Update and maintain document management systems and physical records -- handling intake, scanning, verification, and storing documents
- Verify documents for accuracy, traceability, and compliance with company standards and regulations
- Report and resolve quality anomalies – errors, omissions, calibration concerns – with the Energy infrastructure, technology, and operations teams
- Monitor the flow of documents in and out of the department; train employees and assist them with the use of document management systems; retrieve files for customers when needed
- Maintain the security of confidential documents; archive relevant documentation to the company’s standard; ensure the secure destruction and disposal of sensitive documents when required
- Maintain templates for documents, file types, and document databases for company reports
- Assist with review and editing of specifications and reports
- Assist with inspection of goods or products according to quality and safety standards
- Contribute to the development of company policies, processes, and procedures
Qualifications:
Qualifications
- 2+ years’ experience in quality systems, document management, archive management, or records management
- A degree in business administration, library management, record management, or a related field, or a high-school diploma and 5+ years experience with quality documentation records management
- Experience drafting reports and collating data
- Ability to analyze and interpret technical information
- Knowledge of document management systems like Sharepoint, 3DX, Ennovia, DocuShare, etc.
- Proficiency in Microsoft Office programs
- SAP experience is a big plus
- Top-class typing and report writing skills
- Detail-focused document organizing abilities
- Strong communication, interpersonal, and problem-solving skills
- Time-oriented approach to handling queries and tasks
Candidates must have current U.S. work authorization or be TN eligible from Mexico or Canada. This position is not eligible for CPT or OPT.
