Job Summary:
The President of Disney Television Studios & Global Original Television Strategy is seeking two (2) forward thinking, motivated Executive Assistants. The ideal candidate for each role will possess a proactive, resourceful, and flexible demeanor and successfully manage their respective role by applying critical thinking skills and developing strong partnerships throughout the organization.
As a part of the expansive Disney Entertainment division, the candidates would be joining a global team of creative experts and business strategists who share a passion for storytelling and problem solving. Disney Television Studios comprises 20th Television, 20th Animation and ABC Signature. As an Executive Assistant, both candidates will play a key role on the support team that drives TV content programming across these studios, as well as that which drives local content across all TWDC brands in the US, APAC, EMEA, LATAM and India regions.
These candidates are curious, passionate, and quick to respond to challenges while managing busy calendars with humility and diligence. They proudly represent the office of the President, and the company, to internal and external individuals. They proactively anticipate the needs of those around them and always stay one step ahead!
Responsibilities:
Each Executive Assistant will:
- Represent the office of the President by effectively communicating with teams at all levels across the studios (20th Television, 20th Animation and ABC Signature), TWDC brands (Hulu, Disney+, FX, Disney Branded Television, ABC Entertainment, Freeform, Onyx Collective, National Geographic, Searchlight TV, ABC News) and regions (US, APAC, EMEA, LATAM, India).
- Foster a positive, inclusive environment for all who interact with the office and team.
- Manage flow of information and files in/out of office.
- Be adaptable to taking over administrative duties or projects as needed for the other Executive Assistant, including support with special projects or tasks.
- Must be able to work 4 days a week in the Burbank office and 1 day a week in the Century City office.
The #1 Executive Assistant is responsible for:
- Curating meeting preparation materials – compile grids, research industry leaders, and curate relevant information across multiple brands.
- Answer phones and log calls while generating a comprehensive understanding of the industry and agency landscape.
- Compiling read and watch submissions for the President’s weekly read.
- Liaising to external industry counterparts, and effectively interact with leadership and talent.
- Tracking upcoming premieres and advising the President’s communication with talent.
- Updating department documents and content tracking portals.
The #2 Executive Assistant is responsible for:
- Scheduling meetings across multiple time zones, departments, and brands while respecting the need for flexibility and adaptability in an ever-changing environment.
- Oversee travel arrangements and itineraries, drive-on passes, expense reports, and various other administrative tasks.
- Managing the office environment by maintaining supplies and SAP purchasing.
- Performing daily miscellaneous errands in the office as needed (greeting guests, assisting vendors, etc.).
- Ordering and coordinating gifts for special events.
Basic Qualifications:
- 1+ years’ experience at a talent agency, production company, studio, or network with a solid grasp of the entertainment business.
- Ability to roll calls.
- Mutual ability to multitask and prioritize, independently managing and disseminating a variety of assignments punctually and efficiently.
- Thrive in a fast-paced environment with strong organizational skills, precise attention to detail, and commitment to follow-through.
- Demonstrate professionalism and the ability to maintain the highest level of confidentiality.
- Excellent communication skills (written and verbal) with all levels of leadership and the ability to effectively liase with productions, agencies, other studios, etc.
- Collaborative working style and strong people skills, partnering with key stakeholders at all levels of the organization.
- Maintain a positive, professional demeanor under pressure.
- Ability to anticipate the executive’s needs and effectively handle frequently changing priorities.
- Highly skilled in meeting deadlines, prioritizing work, and driving quality results.
- Maintain flexibility and adaptability, changing course of action quickly when necessary.
- Approaches work with a strong sense of purpose, competence, authority, and compassion.
- Resourceful and critical approach to understanding and resolving issues.
- Knowledge and passion for entertainment and media.
- Strong computer proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Workday, and SAP Concur.
Preferred Qualifications:
Particularly, but not limited to the #1 Executive Assistant:
- 2+ years’ experience at a talent agency, production company, studio, or network.
- Experience supporting an SVP or above.
- Desire to contribute creatively by covering and offering thoughts on materials including scripts, cuts, outlines, and submissions.
- Ability to visually communicate data through charts and grids.
The hiring range for this position in Burbank, CA is $70,000 to $93,800 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
