Job description
Opportunity: Reservations/Sales Coordinator
Respond to telephone, email, and internet inquiries, and employ sales techniques in order to secure and process reservations for guest accommodations in accordance with established guest service and sustainability standards. Performs administrative functions in support of property sales leaders.

Essential Job Functions
- Answer incoming reservations calls from both group and transient clients, make reservations.
- Run assigned reports daily and weekly - including but not limited to Daily Detail, Pace Reports, Group Pickup Reports, SRP Activity Reports.
- Complete weekly/monthly forecasts as needed in absence of Reservations or Revenue Manager.
- Provide backup support for Reservations Manager including learning the weekly and monthly forecast cycle.
- Provide backup support for Convention Services Managers including assisting in completing group resumes and handling client inquiries.
- Learn and understand the Revenue Management requirements of timing of building and managing group room blocks.
- Be the liaison between group clients and Convention Services Managers - including securing and entering rooming lists by contracted due dates, assuring complimentary rooms are assigned as required.
- Be the liaison for LNR clients - including taking calls, communicating availability and ensuring reservations are made correctly, SRPs are maintained and submissions for corporate accounts to Hilton as needed.
- Be responsible for entering Wholesale and Delta reservations as required.
- Ensure processing and proper handling of Credit Card Authorization forms.
- Communicate applicable deposit and guarantee policies as requested.
- Handle complaints in a tactful manner and negotiate resolutions such as alternative accommodations when hotel is sold out.
- Promote Hersha Hospitality and brand-specific marketing programs.
- Follow sustainability guidelines and practices related to HHM’s EarthView program.
- Practice safe work habits, wear protective safety equipment and follow MSDS and OSHA standards.
- Perform other duties as requested by management.
Position Requirements
- Associate degree in business/hospitality, or combination of education and experience
- Minimum of two years’ customer service experience
- Proficient Microsoft Office skills
Work Environment and Context
- Work schedule varies and may include working on holidays and weekends.
- Requires standing for extended periods, walking, pushing, lifting up to 25 pounds, bending and reaching, stooping, kneeling, or crouching.
