Job description
Position: Administrative Secretary
Location: Youngstown, OH
Wage: $18 to $21 per hour
Hours: Monday-Thursday 7:30 a.m. - 5:30 p.m, some Fridays
OVERVIEW:
Provides assistance to the Executive Assistant, supporting and managing the inhouse and outside meetings, and events as assigned by the supervisor. Administrative Secretary will be responsible for attendance at Board of Directors (BOD meetings), ensuring compliance of board membership, gathering required documents according to state governance regulations, taking and developing minutes, at board and committee meetings, and developing resolutions for approvals. Also, maintaining and updating employee rosters.
Essential Functions:
- Carry forth the vision and mission statement of the Mahoning Youngstown Community Action Partnership agency.
- Carries out administrative duties maintaining a central filing system of important documents and letters for the of all programs and funding sources.
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
- Provides supervisor and management team support as assigned by the supervisor, to be successful in daily goals and outcomes of program and projects.
- Exhibits polite and professional communication in person, via phone, e-mail, and mail.
- Assist in supporting team with excellent communication letters, flyers, and other documentations as needed.
- Assists administrative staff by providing timely information needed for projects as assigned, meetings, assuring details and information needed.
- Provides support for special projects, and events; i.e., ordering, set-up, and delivery meals, as needed.
- Provides support to team in accounts payable, grant research and correlating of materials.
- Provides excellent computer skills in PowerPoint, excel and outlook, etc.

Education and Experience Requirements:
- HS Diploma, and/or AA in Management or equivalent work experience in the field.
- Minimum of 3 years of relevant administrative assistant experience
- Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
- Must have reliable and insurable driver's license.
