The Executive Assistant to the Vice President is a key position in our organization; the candidate should be looking to gain hands-on experience across functions through supporting key projects and key leaders within the organization. The ideal candidate is a positive influencer, proactive, approachable, and professional with demonstrated capability to work effectively in a high-energy, fast-paced, team-oriented environment. Time-sensitive situations and changing priorities require flexibility, adaptability, and creative thinking. Our work is confidential, so discretion, judgment, and professionalism are a must. This candidate should have strong interpersonal skills to work well with people at all levels, across multiple organizations, and with leaders both in and outside of Eastman. The candidate needs to maintain patient and pleasant interactions with others, demonstrate a service-oriented attitude, and remain calm under pressure. Candidate must show strong attention to detail and possess exceptional communication, organizational and interpersonal skills. Candidate should have flexibility that allows working outside of normal business hours on occasion.
Responsibilities include:
Developing a working knowledge of Eastman Operations and businesses to contribute meaningfully to the team and our work.
Proactively planning, organizing and scheduling the workday and running the transformation office.
Assisting in developing presentations and communication strategies, marketing materials, project plans, and metrics to sustain performance.
Facilitating, planning, and supporting workshops and transformation office meetings using any necessary teleconferencing and video conferencing equipment and applications; meetings can include regions outside the U.S. and require special consideration to accommodate time differences.
Capturing and communicating action items and routinely sharing progress relative to plan. Maintaining follow-up system for daily meetings, workshops, agendas, deadlines, etc.
Providing oversight and support to project managers/stakeholders on critical initiatives to ensure deadlines are successfully met and keep team informed.
Maintaining calendar by arranging appointments, scheduling meetings, scheduling travel, and resolving conflicts in a prompt, courteous, and professional manner.
Maintaining and assembling background information for meetings.
Receiving and screening incoming telephone calls and generating outgoing calls as situations demand.
Processing Outlook mail, posting meetings, identifying and handling action items and due dates, and responding for executive as appropriate.
Making travel arrangements, detailed itineraries and trip files for international and domestic travel for the Vice President. Completing/verifying expense statements upon return.
Organizing travel and itineraries for visitors, including visiting international leaders as needed.
Welcoming guests and making necessary arrangements for visitor passes, meeting rooms, working meals and refreshments, in addition to arranging escorts for visitors as needed.
Preparing budget analysis and/or other reports by collecting and analyzing data.
Qualifications
High school diploma or GED is required. College degree or higher education courses are a plus.
At least 3 years of administrative experience
Excellent organizational, interpersonal, oral and written communication skills
Exceptional attention to detail, with the ability to produce accurate, error-free work
Strong Microsoft Teams, Outlook, SharePoint, Word, Excel and PowerPoint skills
Capability of maintaining discretion and confidentiality.
Ability to handle and prioritize multiple tasks simultaneously in a deadline-driven, fast-paced environment
Bias for action & follow through skills
Patience and pleasant interaction with others; service-oriented
Networking skills
Outstanding ability to take initiative and assume responsibility for projects and tasks
High degree of professionalism
