Job description

Our client is seeking to recruit an office administrator. This is a full-time role (35 hours per week) however it is also open for candidates who are looking for reduced hours (min 25 hours per week).

Overall purpose of the role:

This is for a very small company with around 3 employees in the office. The main purpose of this role is to primarily manage the Director's personal, business and family matters. The Director owns property locally on Island, mainly in the UK and some overseas.

The candidate will need to work closely with another full-time office administrator who will oversee their work. Due to the small quiet environment, it is essential any candidate is pro-active and self-motivated to undertake their duties. There will be short periods of time, when the candidate could be working on their own in the office.

Key responsibilities will include;

• Answer phones and transfer to the appropriate staff member
• Take and distribute accurate messages
• Coordinate messenger and courier services
• Receive, sort and distribute incoming mail
• Monitor incoming emails and forward as required
• Prepare outgoing mail for distribution
• Fax, scan and copy documents
• Assist with maintaining office filing and storage systems
• Update and maintain databases such as address books, internal orders etc.
• Retrieve information when requested
• Good typing skills, bath letters, emails, memos and other standard documents
• Co-ordinate and organise appointments and meetings
• Keep and manage diaries and arrange appointments

The successful candidate will have:

• Relevant previous experience of working in a similar role.
• Good organizational and communication skills.
