Job description
We have an exciting opportunity for a Intelligence Business Support Officer/Administrator to work for Thames Valley Police Force out of their Head Quarters in Kidlington.
This is a temporary ongoing position working Monday to Friday 30 hours per week 8am to 3pm or full time hours over 4 days Hybrid/Office.
Due to the nature of the role and this being a requirement for an enhanced vetting and security clearance to be taken place for the successful candidate, you must have been residing within the UK continuously for at least 3 years at the time of application. Anything less than this applicants will not be considered.
The overall purpose of the role is to: provide a consistent and reliable support service to the TVLRF partnership (Thames Valley Local Resilience Forum).
1. Proactively maintain the TVLRF annual schedule of meetings. Make all arrangements related to booking multi-agency meetings including booking of venue, catering, undertaking associated administrative preparation and distribution of agenda and other documentation as directed by the meeting lead. Attend meetings to capture minutes and actions.
2. Maintain and update files and records, including those of a highly confidential nature using existing systems and processes ensuring the accuracy and security of information. Ensure multiagency contact details are accurately maintained within the partnership. This includes regular reviews of the TVLRF Contacts Directory and ongoing maintenance of TVLRF Contacts Database and Systems. Coordinate information flow within the partnership ensuring that the correct multi-agency partners receive relevant information in a timely manner and through relevant channels.
3. Produce a range of documents, including letters and reports ensuring that they are accurate and well-presented in accordance with specifications and deadlines. Analyse data feedback from multi-agency stakeholder events for review by the TVLRF Manager / Partnership.
4. Provide initial guidance and signposting for queries into TVLRF from a wide range of partners including emergency services, local authorities, health colleagues, utility companies, voluntary agencies, the military and government departments.
5. Maintain the TVLRF sections of the ResilienceDirect system on behalf of the partnership. This includes maintaining our existing pages and information, creating new pages as requested by the partnership, uploading documentation in a timely manner, undertaking an annual audit of individuals with access to the documentation and overseeing ongoing new requests for access from multi-agency partners.
6. Assist with specific projects and initiatives within the partnership as directed by the TVLRF Partnership Manager.
