The Attendance Officer and Receptionist has a key role to play in the college as the first point of contact for students, their parents and visitors alike. The post holder must be professional, well-organised, welcoming and knowledgeable about the college.
The main duties will include:
- Welcoming all visitors, have visitors sign in, provide them with safeguarding and fire evacuation information.
- Outward facing customer care to students, staff and visitors with a positive, helpful and can do- attitude.
- Safeguarding aware: Ensure that all visitors to site are accompanied and remain with a member of staff while on the premises and safeguarding procedures are followed.
- Day to day running of the College Reception taking calls and taking enquiries.
- Daily record keeping such as logging student absences, attendance reports.
- Running and saving weekly reports for fire procedures.
- Running, saving and distributing daily and monthly attendance registers.
- Attendance – take calls for absences, updating attendance and liaising with Personal Tutors. Call students and stakeholders for student missing from lessons.
- Ordering textbooks and stationery and monitoring deliveries and distribution to staff.
- Ensuring purchase invoices are authorised and sent to finance for payment in the absence of Student Services Manager.
- Ordering office and kitchen supplies and ensuring adequate stock levels are maintained across both sites.
- Preparing standard letters and other documents e.g. bank letters.
- Organising college functions such as staff meetings and staff parties.
- First Aid: Administering basic first aid to staff, students and visitors. Training will be provided and an opportunity to progress to be Lead First Aider at College. Communicating with parents and stakeholders should injury or illness occur.
- Assisting with the evacuation of the college in the event of a fire or other emergency in the role of Fire Marshall.
- Assisting members of the Senior Leadership Team and fellow administrative staff to ensure that the day-to-day activities of the college run smoothly.
- Assisting teaching staff with administrative tasks at busy periods such as enquiries, stationery and photocopying.
- Flexibility to support other teams at the discretion of your line manager and as may be required by the Principal.
