Job description


This post is based in the Directorate of Clinical Governance and Quality. Responsible to the Associate Director of Nursing and Quality the post holder will be responsible for providing an efficient, confidential and comprehensive administrative/secretarial service to the Deputy Director, and Associate Director of Nursing and Quality and Chief AHP.

The post holder will demonstrate excellent organisational skills, must be flexible in approach, able to exercise initiative and demonstrate a consistently high standard of professionalism, being aware of the need for confidentiality and integrity. Fundamental to this post is the ability to multi-task and effectively manage own workload to ensure the administrative needs of the Assistant Director of Nursing and Quality are met.

The post holder will advise the Associate Director of Nursing and Quality on all aspects of administration requirements relating to clinical quality, clinical improvement, clinical audit and clinical effectiveness and be responsible for the continuing development, management and overall performance of administrative staff within the Clinical Quality & Effectiveness Department.

To manage own workload and provide a full range of clerical/administrative support services including:

• Assist the Associate Director of Nursing and Quality in day to day organisational and operational issues including dealing with enquiries and queries from staff, patients, external agencies, using own initiative to determine best approach to resolving problems.

• Ensure flexibility in managing workload, acknowledging the unpredictability of operational pressures in a patient-centred acute hospital setting, which may lead to frequent variations in task.

• Drafting and typing letters and documents for signature and proof reading where required.

• Provide a full range of secretarial procedures, demonstrating comprehensive skills and knowledge in relation to software programmes, through practical experience and achievement of ECDL and other secretarial qualifications.

• Undertake various administrative duties as directed by the Associate Director of Nursing and Quality including assisting with specific projects and collating information, and propose change to administrative processes as appropriate.

• Manage complex information on behalf of the Associate Director of Nursing and Quality ensuring that this is fully communicated to senior managers within the Trust and external agencies as required.

• To assist in clinical audit and effectiveness projects, across the organisation and wider health economy.

• Provide effective communication mechanisms between internal staff at all levels and with external bodies/members of the public and the Assistant Director of Nursing and Quality.

Associate Director of Nursing
• Organise own daily workload and prioritise accordingly.

• Organise major training events and seminars on behalf of the Associate Director of Nursing and Quality ensuring speakers, equipment, catering and all facilities are provided.

• To recognise and alert the Associate Director of Nursing and Quality to immediate, urgent or complex matters requiring attention.

• Support routine performance monitoring, bringing issues to the attention of the Associate Director of Nursing of Nursing and Quality.

• Manage the Associate Director of Nursing and Quality diary and oversee the management of the Clinical Quality & Effectiveness Department, diaries ensuring effective use of time, prioritising meetings as appropriate and responding to meeting requests ensuring that any conflicting diary appointments are resolved.

• Arrange induction programmes, where necessary, for new Managers within the Clinical Quality and Governance Directorate.

• Organise and prepare documents, spreadsheets and presentations relating to meetings attended by and/or chaired by the Assistant Director of Nursing and Quality.

• To arrange meetings, book venues, arrange catering where necessary and distribute supporting papers in a timely manner.

• Source information as required by the Associate Director of Nursing and Quality by using available resources (e.g. colleagues/internet/networks etc.).

• To attend numerous committees as agreed with the Assistant Director of Nursing and Quality and take minutes as required. Arrange for follow up actions to be taken resulting from meetings.

• To assist in the administrative and clerical support for ad hoc Serious Untoward Incident (SUIs) meetings and produce notes and actions and distribute accordingly.
