Job description

• To provide administration support to PGME team and Manager.
• To support the departmental running of the Postgraduate Medical Education (PGME) and associated programmes for 130 junior doctors, consultants and 70 Staff Grade/Associate Specialist/Trust Doctors (SASGs).
• Assist with the administration and coordination of key PGME activity such as: The preparation of induction across main rotation / induction dates in Aug and February.
• Assist with the processing of study leave applications for trainees, consultants and SASGs, to include recording accurate information in study leave databases and preparation of forms and helping coordinate their progress through the approval and reimbursement processes.
• To organise weekly Grand Round administering a programme of multi-disciplinary Grand Round meetings. To Plan the programme and recruit speakers / presenters; book venue; arrange publicity.
• To liaise with Workforce enabling Medical Education to keep up to date records of all Trust doctors. To maintain and update the data.
• To maintain the records of all Educational Supervisors and Clinical Supervisors ensuring revalidation records are up to date.
• To support University of Herts doctors on Ealing site

Assist with the processing of study leave applications for trainees, consultants and SASGs, to include recording accurate information in study leave databases and preparation of forms and helping coordinate their progress through the approval and reimbursement processes.

To update and maintain a data base of Educational Supervisors and clinical Supervisors ensuring training is up to date.

To organise weekly Grand Round administering a programme of multi-disciplinary Grand Round meetings. To Plan the programme and recruit speakers / presenters; book venue; arrange publicity.

To provide administrative assistance to support of Foundation doctors’ training programmes, Foundation documentation and progress monitoring, including e-portfolios. Assist in setting up, maintaining, and troubleshooting e-portfolios.

To be responsible for booking PGME Centre’s lecture theatre and seminar rooms for both PGME and other departments’ use, keeping accurate and up to date records for PGME team as part of cross covering the centre’s facilities.

To organise weekly Grand Round administering a programme of multi-disciplinary Grand Round meetings. To Plan the programme and recruit speakers / presenters; book venue; arrange publicity.

To assist in day to day running of PGME Centre, including arranging furniture when required, setting up / troubleshooting AV equipment, maintaining records of equipment loaned / returned and ensuring equipment is kept in good working order.
