Job description

A Vacancy at Birmingham and Solihull Mental Health NHS Foundation Trust.

To provide a full range of reception and administrative duties, including the monitoring of allocations received to the team, recording, and booking of outpatient appointments. To work in conjunction with other team members, ensuring administrative support is available to all members of the Hub.

Organisational: The post holder will be required to provide an effective and efficient clerical, administrative and reception service to patients/staff and visitors to the service. Recording and booking out-patient appointments, monitoring attendance, as necessary; this will involve the use of electronic systems.

Communication: There will be extensive liaison with Patients, GP’s Commissioners General Public and staff. Information received may be of a confidential or sensitive nature and will require courteous and diplomatic handling.

• To provide a welcoming, customer focused reception and administration service to all staff and visitors to the service, ensuring public waiting areas are tidy.
• To receive telephone calls, taking messages or redirecting to relevant personnel, as required.
• To be able to deal tactfully and effectively with crisis calls and calls of a highly sensitive distressing nature.
• To receive confidential information when liaising with referrers and clients and deal with the content sensitively, seeking guidance from the Team/Admin Manager, if necessary.
• To manage the signing in process and signposting visitors to the relevant department/personnel, telephoning in advance, where necessary.
• Greet all service users attending out-patient/day services, recording their attendance and negotiating further follow-up appointments, using initiative & judgement to resolve appointment issues to role level.
