Job Description
Key Responsibilities:
- Support the Board Chair in ensuring the efficient functioning of the Board and its Committees, including compiling Board/Committee packs, producing minutes, and updating all Terms of Reference annually.
- Facilitate information flow within the Board and its Committees, as well as between senior management and non-executive directors.
- Assist the Board Chair in establishing and maintaining policies and processes necessary for the Board's efficiency.
- Ensure that all Board directors have access to independent professional advice when needed.
- Oversee administrative arrangements related to the Society's Management Responsibilities Map, including annual governance processes and Certified Persons reviews.
- Take on facilities management responsibilities, ensuring a well-maintained and efficient working environment.
- Manage hospitality matters for both internal and external meetings, ensuring a high level of service and professionalism.
- Coordinate all Board and Committee meetings, handling tasks such as room bookings, travel arrangements, accommodation, and catering.
The Successful Applicant
The successful Executive Assistant will posses:
- Proven experience as an Executive Assistant or similar role, preferably within the financial or insurance industry.
- Exceptional organisational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office Suite.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent attention to detail.
- Proactive and able to work independently.
