Project Coordinator

The Position
We are currently looking to recruit a Project Coordinator to join our experienced Property Management team based in our London office near Canary Wharf. This is a permanent position based in the office five days per week. The working hours are 09:00am to 17:30pm Monday to Thursday, with a shorter workday on Friday, from 09:00am to 17:00pm.
This particular position is based with Galliard Estate Management Ltd, who are the in-house property management service charge company for Galliard Homes.
Duties include:
- Administration relating to the Building Safety Act 2022.
- Maintaining the QUOODA Risk & Compliance database.
- Liaising with the Developer / Construction team and tracking receipt of all documentation during mobilisation and set up of new developments.
- Auditing of O&M Manuals.
- Assisting the Credit Control and Legal Team in peak times and holiday cover.
- Being first contact for insurance claims and maintaining a claims tracker across our portfolio.
- Carrying our general administrative duties including answering the telephone, responding to queries from leaseholders and residents, and generally assisting senior management with ad-hoc tasks.
- Manage and maintain the approved contractors register and deal with contractors information and applications, GDPR policies, Health and Safety and Insurance documentation.
- Maintain and up to date working knowledge and understanding of the implications of GDPR on GEM, and to advise and inform all team members accordingly.
- Act as a main contact point for SAR responses and ensure valid DPA's are held.
The Person:
The successful candidate will demonstrate the following:
Essential:
- Good administration skills and an aptitude for learning new systems.
- Excellent written and spoken English.
- Able to converse by email, letter and telephone with stakeholders and colleagues.
- Team player willing to adapt in a challenging environment.
- Previous experience working within a property related or project lead role.
Desirable:
- Working knowledge around GDPR.
- An understanding of leasehold properties.
- Previous experience coordinating maintenance schedules.
