Job description

We are currently recruiting for an Personal Secretary based in Stormont. The successful candidates will be required to start once the vetting paperwork, ANI clearance has been completed.

Start date: ASAP

Duration: 6 months

Rate of pay: £13.81

Hours of work: Monday to Friday 09:00 to 17:00 37 hours a week

PERSONAL SECRETARY – JOB SPECIFICATION

To provide an efficient, effective and responsive secretarial support service to the relevant Director to ensure that their time is managed and utilised in the most effective manner.
1. Diary Management
• Accurately organising and monitoring the Director’s diary.
• Arranging meetings both virtual and in person
2. Information Management
• Processing all e-mails, correspondence, papers etc on arrival – identifying those requiring urgent action, highlighting deadlines and action points, attaching related papers and passing to the Director for action.
• Answering and vetting all incoming telephone calls based on knowledge of caller or issues raised.
• Logging the various information types received, tracking responses and chasing up outstanding responses to ensure deadlines are met.
• Typing, compiling and issuing e-mails, letters, acknowledgements, minutes etc.
• Pulling inputs together from various sources into a coordinated response.
• Scanning, reformatting and updating documents, standardising layouts and creating templates / databases.
• Managing all e-mails, documents, correspondence, papers and files, in both paper and electronic filing systems – copying, cataloguing, filing, retrieving, archiving, reviewing and deleting / destroying in accordance with guidance and protocol.
• Opening and maintaining electronic filing on CM records management system
3. Miscellaneous
• Assisting in maintaining expenditure records.
• Managing specific Director level returns ie Gifts and Hospitality returns
• Monitoring the level of stationery supplies/office consumables
• Recording, producing and issuing minutes of meetings where necessary
• Assisting with document retrieval exercises.

Essential Criteria applicants must have:

Must either hold SC level of clearance or be willing to immediately apply for SC on acceptance of the post.

5 GCSEs including English and Maths and a minimum of 2 A-Levels or equivalent
( Proof of certs required ) We cannot pass your application without them

Desirable Criteria:

A minimum of 2 years’ experience working in an administrative role
Excellent IT skills, including use of Microsoft Word and Excel.
Excellent communication skills.
Proven ability to use own initiative.

Ability to manage and motivate people
Enthusiastic and self-motivated individual with great
interpersonal skills
