Office Manager
Apple Therapy Services seeks an excellent office manager to join our outpatient orthopedic practice. With six New Hampshire locations, our comprehensive physical therapy and occupational therapy clinics offer convenient access to a wide variety of services. At each clinic, we strive to bring relief to our patients by assuring the highest level of care in a comfortable environment.
Under the direction of the Clinic Administrator, the Office Manager assists in the practice’s daily operation by providing administrative support, facilitating patient visits, updating patient records, assisting practice professionals, and supervising the administrative support team. The Office Manager also processes forms and any required billing functions. As the primary liaison between patient/patients and practice professionals, he/she must convey professionalism and confidentiality at all times in their behavior, appearance, and in their oral and written communication. The Office Manager also accesses and updates patient/patient’s health records; therefore, accuracy and confidentiality are required in this role. In addition, the role may take on various project work, including ad hoc reporting, Human Resource duties and other work as needed.
Duties
- · Lead reception responsibilities, including patient-facing tasks such as check/in check out and ensuring proper front desk coverage for time away.
- Supervision and coordination of administrative support team.
- Assist therapists with sanitizing clinic environment
- Assist Clinic Administrator with annual reviews of administrative support team
- Responsibility for safe and accurate payment collection and preparing bank deposits.
- Scheduling and triaging of patient appointments.
- Checking in/outpatients and ensuring proper health records/charts are accessible to providers.
- Updating patient information in the Electronic Medical Records (EMR) system and scanning and/or validation of patient insurance cards and benefits verification.
- Retrieving patient files and medical records as requested by providers and ensuring all applicable forms are filed, processing the records after each appointment, and re-filing in a timely fashion.
- Completing and updating patient charts and forms.
- Completing billing tasks as required, in conjunction with the billing office.
- Maintaining all required authorizations and referrals.
- Training new administrative staff and assisting Orchard Medical Management with onboarding of new employees.
- Ordering and distributing of office supplies and equipment as required.
- Monthly reporting to Orchard Medical Management as well as Clinic Administrator.
- Providing administrative support by filing and retrieving documents, photocopying, faxing and scanning as needed. v. Other duties as required.

- Ensuring accuracy, confidentiality, and safekeeping of patient records
Qualifications
- A GED or High School Diploma is a minimal educational requirement.
- One-year experience or more resolving and analyzing issues pertaining to customers.
- Six months experience or more in a medical office environment using telephones and computers to carry out diverse administrative duties. Experience with medical billing practices preferred.
- Prior experience functioning in a clinic or hospital environment.
- Highly efficient time management, as well as prioritizing assigned tasks.
- Strong ability to perform several tasks together and complete given assignments before deadlines are reached.
- Highly Proficient in the use of MS Office, including PowerPoint, Outlook, Word, and Excel, as well as possessing the ability to work with little supervision.
- Ability to motivate self, and to work efficiently both in a team setting and as an individual.
- Excellent at communicating in a business setting, as well as being detailed oriented.
