We help leading brands from Cadbury to Clarins to Estee Lauder engage their audiences through social and online media to create highly targeted product sampling campaigns in Europe, the US and APAC.
Our end-to-end product sampling solutions drive loyalty and engagement whilst helping brands acquire rich first party data and product reviews. Our buzzy office is in the heart of Brighton’s South Lanes and a stone’s throw from the sea, with a generous balcony overlooking the beach.
About you:
We are seeking an organised and confident personality with effective decision making ability. We’re looking for someone responsible and trustworthy who is highly self-motivated and can support our busy team and CEO. The ideal candidate will have previous experience as an Office Manager or in an executive administrator or PA role. Some staff management or basic HR experience would be ideal but is not essential.
This is a varied and interesting Office Manager role (as well as an exciting time to join), requiring a self-starter who can multitask, has excellent personal skills and an interest in tech and marketing. Having a good eye for detail is a must, along with a can-do attitude, willingness to learn and a calm / level headed manner. A good sense of humour is a must plus the ability to build strong working relationships with the internal team.
Requirements
- Maintain systems and ensure accurate data and record management
- Take minutes and notes during team meetings, track actions and follow up
- Support wider management team with meeting requests, meeting room bookings and ad hoc manager requirements
- Organising social activities for the team, including team lunches
- Arrange travel requirements (including international) for team and associates where required
- Manage relationships with suppliers, cleaners and contractors
- Overseeing the smooth running of the office and keeping the office tidy
- Some HR admin including being in charge of the birthday and anniversary calendar and supporting with recruitment, onboarding and administration of People HR
- Providing some PA support to the CEO where required
- Helping update / create presentations, reports and proposals
- Help organise and maintain google drive / company file systems
- Helping with company admin such as compliance certifications, insurances etc.
Knowledge and key qualities:
- 1+ years relevant experience in a similar role
- Excellent working knowledge of MS Office and / or Google Suite
- A pro-active, self starter who is quick to learn and keen to please
- The ability to adapt quickly and make necessary changes to events/meetings
- Uses initiative and has the confidence to work independently
- Confident and able to communicate with staff at different levels and across different departments internationally
- Excellent written & verbal communication, and interpersonal and relationship management skills
- Excellent organisational skills - ability to multi-task
- Numerate, with strong attention to detail
- Self-driven and motivated; comfortable in a fast-paced environment,
- Uses initiative in all situations and the ability to take responsibility for actions
- Ability to maintain professional conduct in all situations
- A friendly, productive, and patient manner
- A good sense of humor and a great attitude

Salary: £23k- £30k (dependant on experience)
