Job description
PURPOSE OF THE JOB
The Finance & Administration Coordinator will support the financial management, day to day operations and compliance of the organisation.
Key Responsibilities
• Ensuring effective financial processing including bookkeeping, invoicing, processing payments, reconciliations, petty cash and budgeting using Xero software
• Processing monthly payroll using Xero, including submissions to HMRC and the organisations pension provider
• Providing administrative support to all areas of the organisation
• Supporting the day-to-day operations of the office, including point of contact for enquiries, answering telephone, greeting visitors
• Spreadsheet and database maintenance and management
• Carrying out Protection of Vulnerable Groups Checks and maintaining associated admin and record keeping
• Supporting the Management team with legislative and governance compliance
• Maintaining positive relationships with stakeholders and partner organisations
• Maintaining good relationships with children, young people and volunteers using our services
• Work across all areas of CY to uphold the values and ethos of the organisation
Other areas of organisational responsibility:
Funding
• Support the Management Team with reporting to funders
• Support with fundraising activities across the organisation
Buildings and Infrastructure
• Shared responsibility for making sure our buildings and grounds are maintained and fit for purpose
• Support the CY team in the overall running of the building including, health and safety, room booking, dealing with visitors, and maintaining high standards of presentation.
Governance
• Shared responsibility with the team on making sure we’re compliant with legislation
• Provide service and evaluation information to update at Board of Trustee meetings
Supervision Received
The post holder is directly responsible to the Manager who will provide line management, guidance, direction as well as quarterly support and supervision, and ultimately to the Board of Directors who are responsible for the appointment and conduct of all staff.
Special Conditions
All roles at CY are subject to the receipt of two suitable references and membership of the Protection of Vulnerable Groups Register with Disclosure Scotland and will be subject to a probationary period.

PERSONAL PROFILE
Qualifications, Skills & Knowledge
• Relevant qualification in a related discipline and/or extensive experience working in a finance and administration role
• Knowledge and experience of using Xero software for accounting and payroll
• Knowledge of working in a direct service provider
• Experience of reception duties
• Experience of working with third party contractors- equipment engineers, IT companies, cleaning companies etc
• A knowledge and understanding of youth work values and person-centred approaches
• Excellent IT skills with a sound knowledge of Microsoft Excel
• Excellent communication skills
• Knowledge and understanding of, and commitment to equality of opportunity, anti-discriminatory practices, and inclusion
• Efficiency and effectiveness – the ability to plan and organise work so that outcomes and standards are met.
• Knowledge of Third Sector finance, governance and legislation
