WHO WE ARE LOOKING FOR
Choreograph a WPP company is looking for an Executive Assistant to join our London office supporting the Product Leaders across our Global and UK & EMEA regions
WHAT YOU’LL DO
- Ensuring consistent coordination of the leader's business needs
- Assist the Executive(s) in project management and cross functional coordination of the areas of responsibility.
- Supports and coordinates with Leadership on calendars and agendas for meetings.
- Writes and coordinates timely business correspondences and RSVPs.
- Shares and ensures timely access of all materials (including but not limited to board documents, client business review and executive documents), ensuring the Executive is prepared in advance of all meetings.
- Ensure proper trainings, onboarding for Assistant community.
- Supports key financial, legal, and operational documents for record keeping, as well as keeping Executive apprised of key deadlines, etc.
- Organizes files and maintains an effective system of document management.
- Manages travel arrangements and creates detailed travel itineraries for all travel. Follows up throughout travel to ensure coordination and support at all points.
- Expense management for Executive including detailed descriptions and accurate submission in Concur in a timely manner.
- Prepares detailed reports using PowerPoint and Excel
- Prepares decks and presentations using PowerPoint.
- Manages and coordinates executive team key workstreams, initiatives and projects i.e., restructuring.
WHAT YOU’LL NEED
- Minimum 5-8 years professional executive and or/ personal support experience required.
- 3+ years of C-suite level support experience required.
- Advanced proficiency in Excel and PowerPoint
- Proficiency in Microsoft Word and Outlook
- Highly organized, a great multi-tasker and intense attention to detail.
- Able to protect confidential information, problem solve and meet deadlines, while maintaining accuracy and detail
- Sharp, polished and have a professional demeanor.
- Must have the ability to multitask and handle changes in a positive way.
- Strong follow up on deliverables.
