3 months contract with an East London based Local Authority
Job Summary:
· Our client is creating a new team of Housing Options Assistants to assist officers with administrative support.
· Additional officers are needed to work specifically with teams where there is a backlog of admin work.
· To provide a specialist comprehensive administrative and front-line support service within Housing Options service, embracing changes and ensuring year on year service improvements to maintain high standards.
· To support homeless officers with client casework ensuring homelessness prevention, relief, and timely move on from temporary accommodation, including but not limited to issuing applicants with standard letters and notifications under Homelessness Reduction Act and, full duty acceptances are completed on Northgate IT system.
· To ensure all enquiries and applications including Priority Band 1 (PB1), medical and Homefinders are progressed efficiently and within set targets.
Key Duties/Accountabilities:
· To be proficient in the use of Microsoft Office, Scanners, Printers, e-fax, and other equipment, and in the interrogation and use of Housing Options Service’s core databases and workflow applications including Comino, Northgate, CPD, and Abritas.
· To assist with the implementation of ICT upgrades including participating in testing; and revising workflow processes.
· Set up user accounts on IT systems, ensuring correct security access to staff. Where necessary manage restricted applications on IT systems.
· Create new forms and assist in developing and implementing system changes after beta testing on CDP test environment and migrating completed tests over to Live system.
· Issue routine statistical reports, when necessary, create ad-hoc reports in required format, referring identified data and any inaccuracies to the appropriate manager.
· Make appointments, liaise with and/or maintain effective contact with internal and external service providers where it will help resolve customer enquiries advocating for the customer.
· Assisting officers with case work management including, and not limited to, MARAC and PB1 cases. Interrogating systems to obtain relevant information to assist with case conferences and progression.
· Provide administrative support at team meetings including room bookings, issuing invitations, agenda and taking minutes.
Essential Experience Required:
· Intermediate knowledge of Microsoft Word, Excel, Outlook.
· Knowledge of Electronic Document Management and workflow systems.
· Knowledge of database systems.
· Knowledge of the principles of good customer care.
· Experience of carrying out a range of administrative duties.
· Experience of dealing with customers in person or on the phone and offering good customer care.
· Experience of using a range of office equipment, including photocopiers, scanners, e-fax.
