Job description

Assisting the wider Patient Safety Team in preparing and facilitating investigations, including ordered patient notes, arranging staff interviews and preparing responses for the approval process, and managing electronic files. Providing investigators across the Trust with key resources (such as template reports) and information required to produce good quality reports. Proof reading and providing quality assurance to finalised reports prior to publication and distribution. The publication and distribution of finalised reports to appropriate recipients and facilitation of extraction of learning for the Patient Safety and Learning Facilitator. Able to work unsupervised and on own initiative, with a flexible/adaptable approach, ensuring work is completed within agreed timescales, to a high standard, and ensuring a timely response to requests for information or support. To effectively communicate with staff at all levels of the Trust, partner agencies, and members of the public, demonstrating the Trust values. Deal with routine enquiries from staff or patients in a pleasant and helpful manner, using tact, and accurately communicating relevant information. Undertake general office duties for the patient safety team such as the taking of minutes and the typing of minutes/reports/letters, filing, answering telephones, photocopying / scanning, ordering patient notes and completing purchase orders. Providing comprehensive administrative support to various high profile regular meetings including the and Executive Quality and Safety Huddle. Responsible for maintaining the risk management systems, ensuring the application of procedures to ensure the requirements of the Patient Safety Incident Review Framework are met ensuring clear audit trails are present and timeframes are adhered to. Data extraction, creation and presentation of reports from various data sources and the Trust risk management system. Creation and maintenance of departmental activity reports. Responsible for sorting of incoming electronic and postal correspondence, and bringing to the attention of the manager anything of a serious or urgent nature. Responsible for dealing with enquiries and ensuring these are passed to relevant staff to progress, escalating concerns to other team members where appropriate. Responsible for managing the various generic mailboxes associated with Patient Safety, Risk and Datix, and updating electronic systems. Provide a comprehensive committee administration service for the Patient Safety Team including system management and archiving responsibilities. Assist in developing and maintaining spreadsheets and databases, accurately inputting and retrieving data and feedback, transferring data and information into templates. Support the Patient Safety and Learning Facilitator with the production of departmental newsletters. Providing on site support to remote working team members. Responsible for responding to ad-hoc data requests for information held in Datix and other databases. To develop and maintain efficient electronic and manual filing systems, and ensure that computer files are maintained in line with departmental processes. To provide administrative assistance to Safety and Risk Managers. To carry out other appropriate delegated duties as required. Required to follow Trust policies and may be asked to comment on development of departmental processes.
