Job description
To ensure that accurate and timely estimates are prepared for all business projects from pretender to post-tender stage, maintaining post-tender communications with client/main contractor and project team to constantly evaluate the company's position regarding each submission.
Principal Responsibilities
- Effectively works within the Sales team to successfully achieve company, Region and individual goals and objectives relating to the accurate and timely estimation of projects at the pre-tender stage of projects.
- Ensure that the content of each estimate fulfills the requirements of both the client and the company, and closely liaise with clients to ensure that each tender also meets these same requirements and timescales.
- Maintain an up-to-date knowledge of the market place regarding the level of pricing, competition, volume of work etc. to ensure that relevant and competitive estimates are consistently prepared.
- Constantly ensure that suppliers and subcontractors meet the company's standards, requirements and timescales.
- Co-ordinate with senior managers as appropriate (e.g. Regional Director, Sales Manager, Sales Director, Operations Manager, and Senior Contracts Manager) to effectively analyse, comment and agree upon an ultimate strategy for the final tender submission meeting.
- Ensure that the Estimation system is accurately maintained and updated (e.g. latest updates on prices, national discounts etc), and arrange for the timely production of monthly reports to be used as information by Branch representatives at both Regional and National levels.
- Liaise with appropriate Projects Managers/project team members to ensure the adequate hand-over of documentation/information to project teams following the award of contracts.
- Liaise with local Purchasing Manager to effectively update/maintain locally agreed discounts within the Estimation system.
- Attend progress meetings as required, both internal and external, to review and report on the progress being made on the project. Maintain post-tender communications with both internal members and the client to evaluate the company's position with each submission, and to ensure continuous customer satisfaction.
- To effectively manage and co-ordinate recording of quotations, forecasting and documentation using the companies IT systems
- To liaise with our group Commercial Manager to assess tender risks, ie payment terms, bonds, type of contract (NEC, JCT etc). To discuss and obtain approval from Directors where terms are assessed as 'risk' by our Commercial Manager.
- Achieve first class company results by the confident use of negotiating skills based on a continuous customer service relationship.
- Maintain highest levels of commercial confidentiality in all aspects of employment.

Accountable for:
- Providing accurate designs to current British Standards for issued proposals
- Meeting the agreed Targets
- Providing first class proposals to customers.
Scope of Financial Authority
Agreed expenses whilst carrying out company authorised activities relating to customer development.
As defined by the Company Accounts Control Manual.
Key Competencies of experienced jobholder Skills:
- Preferably educated to ONC (or equivalent) standard
- Previous estimating experience working within fire and security industry environment is desirable
- Excellent communication and negotiation skills

Technical knowledge:
- FIA certification in Design and Advanced Design to BS5839 Part 1 2002.
- All round general knowledge of Fire Alarm and Detection Systems
- Product overview training by key manufacturers — Notifier and Gent as a minimum.
- Access Control Systems and BS standards
- Other associated Life Safety Systems, ie disabled refuge.
Standards:
- Fully conversant and able to apply BS 5839 Part 1 and Part 8, BS6266, and HTM05-03 principles.
- Fully conversant with Access Control, CCTV and Intruder System British Standards
- Ensure that all Trinity proposals comply with NSI requirements
- Ensure that all Trinity proposals comply with LPS1014.
- Understand the relevant parts of the Trinity 1509001 Quality System.
Documentation :
Accurately Completes:
- Monthly Order Forecast Form
- Monthly Regional Sales Report for the Regional Sales Manager, to include House Sales.
Also responsible for ensuring that all quotations are presented in line with Trinity requirements, and that all tender support documentation such as specifications and drawings are delivered to the Regional office and filed with the Quotation.
Health and Safety:
- Has completed the basic ECS Health and Safety Assessment Training.
- When on site comply fully with all H & S requirements.
- Have a full understanding of how and when to use PPE.
