As HR Representative you will be joining our HR Services Team based at Badentoy, Portlethen. This role would be suited to Junior / Entry Level into HR and may suit someone who has recently Graduated. This is a critical role where you will work as part of a team in offering HR support to both internal and external customers ensuring the delivery of our Service Delivery Objectives. In this role as HR Representative you will work closely with our HR Business Partners, Centres of Excellence, Managers and Employees directly to offer and maintain a high level of customer service throughout each aspect of your role in support of the business and their needs. As HR Representative you will be able to adapt to changing priorities and requirements whilst exercising good judgement based on business need as well as be quick to identify critical information and respond appropriately
DUTIES & RESPONSIBILITIES:
- Primary responsibility of role is to respond to enquiries regarding HR policy and procedure, the HR Portal and HR self-service forms associated with particular HR transactions
- Gather information and record data in HR tools, monitor transaction status of Requests and escalates transactions, as necessary; in order to respond to customer enquiries.
- Prepares error-free written communication including e-mails and letters and escalates, as necessary, to other parties on a number of various activities.
- Interact directly with managers, candidates and other HR staff/COE’s providing support as needed
- Accept and route requests for assistance through all communication routes into the Team.
- Work directly with customers to resolve recurring or standard problems.
- Working to the team Goals and Objectives of the supporting SLA’s for all work tasks that come into the shared mailbox striving for first class customer support
- Action all promotions, transfers, terminations (and any other HUB System related actions) ensuring all authorisation is received prior to processing
- Preparation of contractual documentation for new hires seeing through end to end. Follows up with candidates relative to pre-hire documentation and follows through per full process through to Hire.
QUALIFICATIONS
- HND or equivalent in a relevant subject (essential)
- Bachelor’s degree in a relevant subject (desirable)
EXPERIENCE
- Working knowledge within an HR support function (essential)
- Working knowledge with a business administration function (essential)
- Demonstrated history of achieving performance related targets (kpi’s, metrics) (essential)
- Demonstrated ability to handle multiple tasks simultaneously and work in a fast paced environment (essential)
- Process Development and Improvement experience (desirable)
SKILLS, TRAINING AND SPECIALIST KNOWLEDGE
- Computer literacy with Microsoft Office Suite (including good command of Microsoft Office: Excel, Word, Outlook) (essential)
- Demonstrated use of Work Supported Systems (essential)
- SharePoint (desirable)
- HR Systems including Oracle HUB or Taleo (desirable)
- Analytical skills (desirable)
