We have an exciting new opportunity for a Document Controller to join our Construction team based on one of our customer sites on the Hertfordshire/Essex border.
The successful applicant will be responsible for ensuring Document Management consistency across the project, rigorously maintaining control and traceability of the documentation from project initiation through to completion. This includes but not limited to the mechanical, electrical, building and civil engineering projects, proactively working with
the team to minimise the risk of a project due to information not being managed, while still achieving the required standards and quality.
KEY ROLE RESPONSIBILITES:
- Implement and maintain document control processes and procedures.
- Develop and maintain the Document Management System.
- Manage all flows of documents either in electronic form or on paper support.
- Ensure Document Management accordingly to established procedures or standards (documents numbering, formats,
- issuance, review, dispatch, recording and archiving).
- Maintain and manage electronic and hard copy documents as required.
- Process incoming documentation (registration in the DMS, internal distribution, archiving).
- Process outgoing documentation (transmit to Client and Suppliers/3rd parties).
- Makes sure that controlled copies of latest approved documents and drawings are distributed internally and externally
- (Clients and Suppliers).
- Ensure control and coordination of projects documentation and data.
- Ensure all drawings/documentation are correctly identified, distributed and filed/stored.
- General document control activities such as photocopying, scanning, analysis of suppliers documents compliance with Project
- standards regarding numbering and all others aspect related to document quality.
- Assistance in the preparation collation and issue of reports and registers as may be required.
- Communicate and liaise with Project Teams, Suppliers/3rd parties to agree standards, systems, efficient flow of
- documentation, handover and close-out of Project activity to ensure consistency in document control as required.
- Monitor technical documents review and approval in accordance with agreed schedule.
- Monitoring of documentation progress in cooperation with the project planner.
- Produce internal and external (Clients and Suppliers) over-due reports.
- Ensuring the use of standardised forms and templates.
- Set-up Projects folders and facilitate Project communication process.
- Establish and maintain the Master Document Register in cooperation with the Project team.
- Collate, produce and submit QA Documentation for Clients.
JOB SPECIFICS
- Attend site meetings as directed by the Contract Manager.
- Liaise with other stakeholders during meetings and provide evidence-based site progress reports including (photos), 2-week look ahead, issues log and risks register.
- Undertake take offs, material selection and order materials in accordance with the JCA set procedures.
- Ensure correct storage of materials and that site stock is maintained to allow daily operations.
- Review site reports, designs and drawings and provide practical feedback on installation methods and improvements in line with best practice.
- Liaise with site team and identify and site challenges, identify and implement systems to resolve.
- Use of construction company issued software/hardware applications to record progress, snagging, diaries, and checklists.
- Manage and understand the contract programme and produce short term/medium term updates as required.
- Report on overall operation of their programme, labour, opportunities, health and safety and any other matter that may arise in contract reports and to the business as required.
- Responsibility for the subcontractor site-based project documentation, items such as RAMS, permits, void closures.
- Responsibility to meet with subcontractors on site progress, resource allocation and health safety performance. Provide motivation and leadership to the workforce throughout the project.
- Will be responsible for site welfare, to ensure it is effectively managed and clean at all times in accordance with all statutory and company requirements.
- Create and maintain and update daily site diary with full information on activities, staff, conditions, operations etc.
- Responsibility for creating and maintaining site equipment and registers. Responsibility for creating and maintaining site plant and registers.
- Responsibility for managing site materials including security and appropriate storage.
- Responsibility for the general security of the site, including access, security gates, securing perimeter at end of shift etc.
- Responsibility for HSE audits (Checklists) and ensuring any actions are closed out in accordance with company procedures.
- Undertake site Inductions for all staff and record required documentation.
- Undertake daily briefings, tool-box talks and record as required.
- Operate and maintain snag lists as required and liaise with supply chain to close out and record closed out.
QUALIFICATIONS AND EXPERIENCE
- Previous experience in a Document Controller role.
- Minimum experience of 2 years in similar role in Engineering/Construction.
- Previous experience of Visio software.
- Previous experience of Conject/4projects
- Good communication both verbally & written.
- Ability to work well within a team as well as independently.
