Studio & Production Manager

Job description
Working together with Phoebe English, the Finance Manager, and the studio team, the Studio & Production Manager's daily responsibilities will vary depending on which point in the season we are in.
This will include:
- Being the main developer and researcher for new sustainability methods, contacts, suppliers and attempts for solutions within the studio practice and collections to aid in making what we do the least negatively impactful on the environment and communities as we can.
- Design Development, Pattern Cutting and Sample Realisation on all collections, including organising samples and assigning roles to studio team.
- Tech packs and patterns.
- Costing of each garment/product and overview of collection costings
- Preparing and sending samples to the factory in a timely highly organized manor, managing all production delivery logistics and processes.
- Quality control of production, altering any alterations, labelling and helping to pack production orders ready for dispatch.
- Assisting and working on special projects, exhibitions and private commissions.
- Any ad-hock tasks as required by all projects the studio may be working on.
- Attending regular meetings where we will discuss and plan out everyone’s tasks, the diary and the schedule that week/month and future plans, also attending meetings with finance to go over accounts, incoming and outgoings and how project budgets are ongoing.
The defined role as Studio and Production Manager will include working across the Production and Studio, managing and overseeing all production and collection development from start to finish product aligned with the studio ethos and values.
Responsibilities
Production:
- Oversees the production process and coordinates all activities to ensure enough resources on hand. Plan schedules, estimate costs and prepare budgets to ensure workflow meets required deadlines
- Contacting our fabric supplier network before, during and after sales to ensure fabric we will be using is in stock and will be available to order for production.
- Main point of contact for all manufacturers and suppliers before and after sales (this includes factories and freelancers)
- Keeping track of fabric consumptions for each style as we develop the collection
- Keep on track of finishing and construction details of all styles during the development of each collection.
- Inputting fabric information and consumptions into Zedonk software for all of production’s digital input (suppliers/manufacturers/raw materials/ costing/ production orders/ pick and pack list)
- Being responsible for ordering sampling and production fabric, and organising delivery
- Keeping track of these fabric costs and the fabric budget for the collections as we make them
- Being the main point of contact with suppliers and factories booking in production dates, arranging and attending meetings
- Keeping track of the timings to ensure everything is made and delivered on time
- Organise production drop offs/pick ups
- Overseeing quality control on all made pieces and packing
- Liaising with the project and sales manager on sales and orders
Studio:
- Assisting Phoebe directly with collection and projects developments
- Research on sustainability, circularity and transparency within the full supply chain
- Keeping track of suppliers data base
- Engaging and maintaining contact with suppliers and partnerships
- Sourcing all materials
- Textile and garment samples development in house
- Working alongside pattern cutting freelancers
- Organising delivery/drop off with seamstresse(s)
- Quality control over all samples before show/presentation
- Assisting on show/presentation day
- Daily studio team management, communicating daily start and finish times, arranging weekend help before shows, weekly work experience schedule.
- Daily management of studio stock
- Management of sewing machine and sewing room maintence.
- Recruitment of new work placements including advertising and arranging and attending interviews, arranging trial days and start times.
- Preparing any official forms for students attending work experience with us
- Preparing references for students who have completed their time with us and have requested one for their next stages (we have a template on file)
- Preparing all technical information for production, tech packs, technical drawings, garment descriptions, fully noted toiles for each style
- Keeping general management of the studio in an organized and tidy fashion, packing down each day safely making sure the studio is fully locked up
- with all machinery and heaters fully switched off at the wall.
- Organising samples from our archive for dispatch for any loans or exhibitions.
- Organising any production or gifts which need to be gift-wrapped labelled and hand delivered within London.
- Preparing the information for sales hangtags and any additional disclaimers or illustrations.
- Getting production labels made and ensuring we have them in stock.
- Preparing the in-design file for each care label to be digitally printed from.
- Full quality control checks of all production with our team, aiming to amend any quality in discrepancies with our manufacturers.
- Helping to organise any outstanding shipping of orders with correct shipment information, packing the orders and labeling if Sales Manager is unable to perform this task due to not being in that day etc…
- Overseeing the location and logistics of studio samples.
- Being the main point of contact for the studio when Phoebe isn’t in.
- Attending Fabric Fairs to look for new materials and researching new sustainability approaches.
- Attending and organising meetings with potential fabric waste sourcing contacts.
General:
- Overseeing and tracking day-to-day studio tasks
- Keeping studio tidy at all times
- Making sure all machinery/equipment are in good working conditions and keep studio supply up to date
- Keeping track of all email inbox, digital and paper works
- Managing day-to-day tasks in the studio alongside the Projects and Commercial Manager
- Managing and organising other members of the team to carry out tasks
