Overview: We are seeking a highly organized and detail-oriented individual to join our team as a Project Coordinator with a background in events management. The ideal candidate will be responsible for supporting the planning, coordination, and execution of various events within our organization. This role requires excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Responsibilities:
1. Event Planning: Assist in the planning and execution of events, including but not limited to conferences, seminars, workshops, and corporate functions. Collaborate with team members to develop event concepts, themes, and agendas.
2. Vendor Coordination: Liaise with vendors, suppliers, and venues to negotiate contracts, secure necessary permits, and coordinate logistics such as catering, audio-visual equipment, and transportation.
3. Budget Management: Assist in the development and management of event budgets. Track expenses, reconcile invoices, and identify cost-saving opportunities while ensuring events stay within budgetary constraints.
4. Timeline Management: Create and maintain detailed project timelines, deadlines, and milestones for each event. Coordinate with internal teams and external stakeholders to ensure tasks are completed on time and within scope.
5. Logistical Support: Arrange accommodations, transportation, and other logistical details for event attendees, speakers, and VIP guests. Coordinate on-site setup and teardown activities, including signage, décor, and equipment.
6. Marketing and Promotion: Assist in the development and implementation of marketing strategies to promote events and drive attendance. Coordinate with the marketing team to create promotional materials, social media campaigns, and email communications.
7. Attendee Management: Manage RSVPs, registrations, and attendee communications. Provide support to attendees before, during, and after events to ensure a seamless experience.
8. Post-Event Evaluation: Conduct post-event evaluations to assess the success of each event. Collect feedback from attendees and stakeholders, analyze data, and identify areas for improvement.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
- 2+ years of experience in event planning, coordination, or management.
- Strong organizational skills and the ability to manage multiple projects simultaneously.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and event management software (e.g., Cvent, Eventbrite).
- Experience negotiating contracts and managing vendor relationships.
- Budget management experience with a keen eye for detail.
- Creative thinking and problem-solving abilities.
- Flexibility to work evenings, weekends, and travel as needed for events.
- Passion for creating memorable and impactful experiences for attendees.
