The Role
As a Global Office Lead, you will provide an efficient, safe and legally compliant working environment for our global offices and being the first point of call for any employee / visitor / facility queries.
Key Responsibilities
- Manage office communications by answering phone lines and handling voicemail.
- Act as a point of contact for employee facilities inquiries and ensure smooth office operations.
- Coordinate with IT and building management for access passes and office security.
- Assist in meeting arrangements, including room bookings and refreshments.
- Conduct office inductions and oversee fire alarm tests.
- Monitor office desk bookings and maintain supplies inventory.
- Procure and manage office supplies, including refreshments and stationery.
- Arrange post, couriers, and assist in office events.
- Oversee facilities management, including office leases and maintenance services.
- Manage supplier relationships, contracts, and budget.
- Maintain health and safety guidelines, conduct risk assessments, and organise training.
- Coordinate with tenants and negotiate rates.
- Review and approve invoices, track expenditure, and maintain records.
- Manage all internal travel which includes bookings, invoices and partnership with external travel company
- Support ESG initiatives and organise employee recognition programmes.
- Provide additional ad hoc support as needed.
Requirements
- 1 to 2 years relevant facilities management experience
- Excellent communication and interpersonal skills
- Excellent organisational skills
- Good written and oral communication skills
- Intermediate Word and Excel
- Numeracy and IT skills
- Good MS 365 skills
- Accuracy and attention to detail
- Ability to manage own workload and prioritise
