We are hiring a Facilities and Admin Supervisor to join our team at Inchinnan. We will look to you to champion a safe, engaging and best in class employee working environment as part of the Facilities and Admin and wider Business Excellence team. The Facilities and Admin Supervisor will lead by example, living and breathing the JFD company values whilst always looking for ways to improve our employee experience and environment.

You will also ensure that facilities and office standards are clear and well maintained, safety and employee engagement are at the forefront of everything you do and that you provide excellent line manager to your direct reports.

What you’ll be doing             

• Supervise the maintenance of the facilities, grounds and office services provided within the JFD UK sites, to ensure a suitable environment for the needs of each facility, problem solving to root cause or escalating any issues as required.

• Working in partnership with HSEQ team Ensuring appropriate risk assessments are undertaken for all facilities work and ensure building security is appropriate.
• Proactively maintain the facility and office standards set out by the Facilities and Administration manager, while providing excellent, effective and consistent line management to direct reports
• Prepare the budget, and quarterly forecasts, for facility and office expenditure using best business practices while tracking building upkeep and anticipated improvements and maintenance
• Handle certain administrative tasks, such as preparing reports for SLT and Heads of Department including greenhouse gas and utility reporting and manage a team of administrators who support key business processes.
• Respond to emergency situations or other urgent issues involving the facility.
• Authorizing and recording invoices and raising PR’s for contractors and services.

  Knowledge, Experience and Skills

• Experience in facilities management, office management or related field
• Familiarity with building upkeep, structural issues, and ground maintenance requirements
• Qualifications in facilities management (desirable)
• Strong interpersonal and communication skills
• Analytical skills including experience in managing budgets and strong computer literacy
• Ability to manage and develop a team to work towards a common goal
• Ability to solve problems and prioritise workloads
• Ability to build successful relationships and to deliver a service to key stakeholders
• Regular travel to UK sites may be required
