Job description
We are looking for an exceptionally organised, highly driven Studio & Events Coordinator. In this exciting role, the successful applicant will be responsible for the effective coordination of our Marylebone studio space. The role is vital in ensuring the smooth day-to-day operation of the team and the studio.
Key responsibilities include:
- Assist in managing day-to-day operations of the studio and ensure studio space is running as efficiently as possible
- Key point of contact for any employee queries regarding day-to-day issues and for external contractors regarding any work required to take place in the studio
- Work with the Head of Operations on health and safety policy and ensure compliance with all health and safety, licensing and fire regulations for the studio. Responsible for all statutory inspections and licenses and ensuring they are kept up to date
- Support for all studio maintenance and security and ensure the presentation of space is maintained to a high standard. Feedback on studio efficiency and suggest improvements to studio space
- Procurement of studio supplies to ensure the studio is always fully stocked
- Manage packaging procurement, including sourcing new suppliers, monitoring supply levels and organising shipments and storage
- Track studio budgets and help drive cost savings. Keep trackers up to date, handle petty cash and process any expenses. Assist the accounting team in the reconciliation and processing of invoices and data collection for VAT returns
- Assist in the organisation of external events, including but not limited to sample sales, fashion week, and press dinners in accordance with budget and brief. Tasks include sourcing, venue outreach, on-site management, negotiations and logistical support
- Create post-event analysis and reports
- Organise internal company events, including planning and organisation of team events, birthdays and leaving parties
- Help induct new staff and freelancers and provide necessary training
- Assist in client appointments, emails and telephone enquiries when required
- Management of company diary
- Provide general logistical support to all areas of the company
- Oversee studio and storage inventory, assist in yearly stock take and provide any support third-party warehouse
- Perform ad-hoc tasks as needed to support the smooth and efficient operation of the wider team

Required:

- Adept at working efficiently in a fast-paced business environment
- Demonstrated ability to work independently and collaboratively within a team
- Strong verbal and written communication skills
Beneficial:
- Experience in a similar role for a contemporary fashion brand is desirable
- Graphic design knowledge is advantageous
- Familiarity with Microsoft Office, Shopify and Zedonk is a plus
- Interest in the global luxury fashion and retail industry is desirable
- Experience at a contemporary fashion brand is desirable
