Job description
Our client is looking to appoint an Administrator on a temporary basis covering maternity leave for 6-9 months. This is a full time role requiring an immediate start and duties include:
Scheduling of electrical testing for Tenants, liaising with client/tenants daily.
Keeping track of Engineers’ diary.
Ensuring the correct properties are being attended to on a daily basis.
Dealing with last minute bookings
Updating information of cancellations, bookings, and non-contactable tenants.
Reporting to the client on a weekly basis and updating them on weekly activities.
Compiling a report of activities on a two-week basis.
Processing EICR paperwork weekly, posting certificates to tenants as well as uploading documents onto client database.
Applying for access to commercial properties.
Making sure access is approved 5 days in advance.
Applying for emergency access should a breakdown occur.
Processing individual paperwork for each property.
Updating excel spreadsheets.
Day to day reception duties, answering calls from main switchboard.
Relaying messages and passing on calls.
Signing for parcels and passing on to the correct recipient.
Assist with invoicing.
Person Specification
Previous admin/customer service experience.
Ability to manage, prioritise and delegate a number of tasks to engineers on a daily basis as well as handle multiple customer and tenant phone calls.
Excellent communication skills, including answering calls and emails in a professional and courteous manner.
Proficient IT skills with ability to use various computer packages including Excel and Word.
