Job description

We have an exciting new role for an Intellectual Property Administrator to join our Intellectual Property team in the Colchester office on a full time basis. There will be some working from home, if required, in line with the firm’s home-working guidelines. 

The Role

You will be part of the Intellectual Property team, working closely together with colleagues and sharing responsibilities for providing a full Intellectual Property administrative support service. You will have an interest in IP law and excellent communication skills - both verbal and written. You will be required to talk with clients, write letters and emails, and perform filing tasks using our state of the art IP case management software, Equinox.

You will have the support of the team however, you will be able to act independently and proactively, at times acting as a first point of contact for the team. Duties will include booking meetings for new and existing clients; processing new enquiries, booking client meetings and accurately managing the client files. 

This is a fantastic opportunity for someone looking to gain exposure in a more client-focused role.

The duties of the team include: 

•    Supporting Patent and Trade Mark attorneys with their work;
•    Email and administrative support; reviewing incoming emails, taking note of instructions and deadlines, replying where appropriate, and saving to electronic files;
•    Communicating with clients about their IP matters and working closely with other external agents, including face-to-face meetings and phone calls from day one;
•    Preparing and filing UK patent applications / European patent applications / Euro-PCT applications;
•    Dealing with invoices and renewals;
•    Deal with post, internal and external, distributing, actioning and filing as required.
•    Euro-GB validation work.
•    UK and Euro trade mark and design filing
•    International (UK handling office) filing.
•    International (Euro handling office) filing.
•    Compiling Information disclosure statements.
•    Payment of renewals and sending renewal reminders
•    Communication with registries (UK / Europe  / WIPO)


The role will include file management and creating high quality typed work with accuracy and at a high speed; including the preparation of quotes, jobs, invoices and credit notes. 

The Candidate

The ideal candidate will ideally be familiar with UK, European and international systems such as the PCT and the Madrid system. The client may have the CIPA or CITMA paralegal qualification.

You will have an eye for detail, work with high levels of accuracy and possess the ability to work under pressure, prioritising effectively. 

The ideal candidate will have:

•    excellent timekeeping and communication skills, both verbal and written;
•    strong typing skills;
•    a professional approach to work;
•    a positive, friendly and helpful approach to being a team player;
•    Excellent organisational skills and the ability to prioritise;
•    Strong attention to detail;
•    The ability to work as part of a team as well as on their own;
•    IT literacy skills, proficient in the use of Microsoft Office applications (Word, Excel, Outlook).
