We are currently recruiting for a Temporary Administrative Coordinator with excellent attention to detail with the ability to work to a high level of accuracy, advanced use of Microsoft Excel and ability to use standard computer programmes, to provide timely and high-quality administrative and advisory support. This assignment is due to commence ASAP for approximately 4 weeks in the first instance, on a full-time basis.
The post holder will be responsible for checking and updating staff records and the filing systems to ensure the integrity of our centralised data for inspection by internal / external audit and will oversee and advise the Administrative Assistants.

1.Team lead the Administrative Assistants, overseeing the work and advising as appropriate:
• Organise the assignments for the function .
• Communicate with and advise stakeholders at various levels.

2.Oversee the administration in managing and maintaining records. This may include:
• Add new files when a Certificate of Sponsorship is issued.
• Update files when employees start and further necessary information is obtained (signed RTW, qualifications, NI, Address).
• Update files when departments submit changes and leavers forms and report changes on SMS when required.
• Chase departments for required documents when necessary.
• Check and verify staff records are in conformity with UKVI legislation and corporate policies.
• Scanning and uploading files to create digital copies of physical records.

3.Provide guidance and assistance with the audit and checking of records:
• Carrying out routine checks to ensure the filing system is current and correct.
• Compile, gather and organise reports, documents and records.
• Make available of all records for viewing and processing as necessary.
• Ensure centralised data is compliant with current legislation and best practices.
