Job description
What you will do in your working day
The School Business Administrator will work within the school providing support under the guidance of the Head Teacher and senior staff.
Successful candidates will be required to:
- Ensure the reception area is tidy and help create a warm welcoming atmosphere
- Deal with office emails, diary and all other enquiries and provide general information about the school in person, by telephone and email
- Use of text messaging and email facility to parents to keep them informed
- Receive and be the first point of contact for visitors, parents and pupils requiring support
- Deal with post, deliveries and contractors
- Manage and maintain manual and computerised record/information systems
- Work towards being able to analyse and evaluate data and information and produce information/data/reports as required.
- Support with the marketing and promotion of the school and help with the fundraising for the school
- Undertake audits as required to produce up to date inventories and monitor and manage stock
- Support with administrative tasks across the school as needed and when required source information/ arrange meetings/ create documents
- Have a sound understanding of the school roles and responsibilities and your own position within these
Successful candidates will also be required to maintain personal and professional development to meet the changing demands of the job, participate in appropriate training activities and meetings.
Successful candidates will also undertake such other duties, training and/or hours of work as may be reasonably required and which are consistent with the general level of responsibility of this job.
Required skills:
- Good communication skills - taking messages and pass on information to staff and parents
- Strong literacy skills and the ability to support staff/pupils/respond to parents through fluent and accurately spoken English
- Polite and professional telephone manner
- Strong numeracy skills may have the responsibility of handling and dealing with cash and cheques and recording financial information
- Strong ICT skills, A good understanding of word and excel and the ability to develop competence in completing a wide range of IT based tasks
- Ability to work as part of a team and also independently using initiative and dealing with challenging situations effectively, working under pressure and prioritising effectively
- Ability to follow policies and procedures correctly
- Follow the schools’ safeguarding procedures and polices correctly, door monitoring and signing in book

It is essential that applicants hold GCSE grade 4/C or above (or an equivalent) in maths and English.
The training you will be getting
- Upon completion of this apprenticeship, the successful candidate will achieve a level 3 qualification in Business Administration
- Training will be provided by Worcestershire County Council and will include formal workshops, study days, observations in the workplace and support from the tutor/assessor, totalling 20% off-the-job learning
What to expect at the end of your apprenticeship
- Candidates successful with the apprenticeship will receive a level 3 qualification in Business Administration
- You will also achieve the level 3 Diploma in Administrative Operations. There may be an opportunity for permanency following your qualification
