Key Skills:

  1. Highly developed communications and interpersonal skills to interact with a
    wider range of staff, Councillors, and clients to create and maintain effective working relationships.
  2. Excellent judgement and problem-solving skills, dealing with complex matters in a prompt and effective manner, including dealing with challenging enquirers.
  3. Excellent time management, planning and organisation skills to be able to manage multiple priorities concurrently.
  4. Thinking strategically and forward planning, managing diaries and carrying out effective research to ensure your customer’s time is spent in the most efficient way.

Qualifications and/or experience:
• Proven track record of providing EA and business support at executive level and familiarity with the required duties.
• RSA II, or equivalent relevant experience or qualification in Word, PowerPoint, Excel, Visio and Project.
• Experience of working in a fast-paced, innovative work environment, whilst remaining calm.
• Experience of co-ordinating the work of others to ensure service delivery.
• Political awareness when working with councillors / senior management – Desirable

Key responsibilities
You will lead the coordination of the provision of a dynamic PA and business support service to Chief Executive (CEX) and the Assistant Chief Executive
(ACE), by carrying out effectively a full range of high level administrative and business support tasks.
This support will include:
• anticipating requirements to maximise efficiency of the CEX and Assistant CEX.
• providing proactive diary management; assessing priorities to determine the need to attend; arranging alternative cover and removing conflict.
• managing correspondence and drafting responses for consideration.
• organising travel and accommodation and processing expense claims.

Job Description & Person Specification
• organisation of large complex events / courses.
• organising meetings, preparing briefs and taking notes / minutes and chasing agreed actions. Preparing and compiling papers and relevant information for meetings.
• determining the work priorities for your team in order to meet business needs.
• Providing an element of coaching, mentoring and knowledge transfer to enhance the skills of others.

Please note that this role will require the postholder to be in the Chichester 2-3 days per week. Please do not submit who cannot do this.
